Position: Administrative Manager (Finance, IT & Operations)

Job Summary

We are seeking a highly organized, driven Administrative Manager to oversee key internal functions including finance, administrative operations, and IT coordination. This role is ideal for someone with a strong finance background who is ready to expand their scope, take ownership, and grow into a larger leadership role within a fast-growing service-based company.

This is a hands-on, high-impact position with significant growth opportunities for the right candidate.

Responsibilities

Finance & Accounting

  • Manage Accounts Receivable (AR) and Accounts Payable (AP)
  • Oversee timekeeping and coordination with an external payroll provider
  • Maintain accurate financial records and reports
  • Build, improve, and document finance systems and processes
  • Ensure financial accuracy, organization, and compliance

Administrative & Operations Management

  • Oversee day-to-day administrative functions
  • Create structure, workflows, and documentation for internal processes
  • Support leadership by keeping operations organized and running smoothly
  • Act as a central point of coordination across departments

IT & Systems Coordination

  • Oversee internal tools, software, and systems
  • Coordinate with external IT or system vendors as needed
  • Troubleshoot basic operational system issues and ensure efficiency
Qualifications & Experience
  • 3–5 years of experience in bookkeeping, finance, or administrative management
  • Strong experience with AR/AP and financial operations
  • Experience in a service-based business (plumbing, HVAC, construction, or similar) is a plus
  • Highly organized with excellent attention to detail
  • Comfortable managing multiple priorities and wearing multiple hats
  • Strong communication and problem-solving skills
