Office Administrator/ Coordinator
Position Responsibilities
- Collaborate with Home Care Management including on changes in program regulations and requirements; provide input and feedback on the implementation of the resulting changes.
- Support Management with updates and maintenance of forms and documents, both digital and paper.
- Assist with creation of materials for presentations or trainings.
- Participate in cross training and coverage between Switchboard and Home Care Administrative teams.
- Provide Switchboard coverage as needed, maintaining a constant level of comfort and competency in operating the Switchboard and staying current on agency changes affecting call handling and routing.
- Provide coverage as needed for reception functions including greeting, signing in, and assisting visitors to the agency.
- Perform programmatic administrative functions as assigned, including but not limited to PT-1 processing, Intake calendar creation, care plan management, and MH/FEW applications.
- Perform Quality Improvement tasks as assigned, including but not limited to state time study management, surveying, and performance evaluation tracking.
- Upload documents and document consumer related activities in the state consumer database.
- Prepare packets and mailings, and assist with other special projects on a regularly occurring and as‑needed basis.
- Participate in filing, file purging, and off‑site file storage preparation activities.
- Monitor inventory of Home Care items and ensure purchasing replenishment.
- Take and distribute monthly meeting minutes for identified meetings.
- Cross‑train on general team functions as well as on critical job functions to ensure adequate coverage when others are out of the office.
- Attend all team, Home Care Department, and All Staff meetings and complete agency required trainings.
- Other related duties as required.
Associate Degree with 1 year of administrative assistant experience strongly preferred. High school diploma with at least five years of administrative experience may be considered.
RequirementsProficient in Office 365 with the ability to master new procedures with minimal oversight; strong interpersonal and organizational skills, attention to detail, ability to prioritize, multitask, and work well in a fast‑paced team environment. Must work well independently as well as collaboratively. Prior experience with large client databases a plus.
Hours and PayHours:
37.5 per week. Pay range: $21.00 – $22.00 per hour. The pay range depends on internal equity, experience, and qualifications.
