Job Summary
The Operations Support Specialist serves as a trusted partner across all areas of responsibility, supporting the Manager of Operations, Senior Vice President of Operations, and other members of the operations team as needed. The specialist will help the Operations Team be more productive and effective by maintaining responsibility for key assignments, general project management, planning, and support. The role requires a strong willingness to learn about the Executive Benefits and nonqualified plan market and a dedication to delivering accurate and efficient operational support.
Essential Duties and Responsibilities- Meeting Preparation and Support — prepare materials and agendas with stakeholders; create PowerPoint decks; organize and share deliverables.
- Meeting Record Keeping — participate in meetings to keep them on time and on topic; take detailed notes and actions; create summarized meeting highlights for dissemination and follow‑up on action items.
- Partner with advisors to support sales origination efforts by identifying engagement opportunities and helping drive prospect activity.
- Event Planning and Calendar Management — manage calendars for the Operations Team; coordinate light travel planning; coordinate event logistics and research for internal and client‑facing operational webinars and educational events, including RSVP management, attendee tracking, follow‑up logistics, and post‑event record keeping.
- Data Management — audit reports and operational data within Salesforce and other internal systems; perform data hygiene tasks and coordinate with data owners to ensure accuracy; create financial summary reports; maintain and manage Salesforce data related to client relationships, prospect activity, opportunities, and executive benefit programs.
- General Support — assist with various facets of the Operations Team and projects; ensure successful completion of projects and initiatives within specified time frames; proofread and edit documents; identify and share ideas on efficiencies; perform additional responsibilities as requested or assigned; self‑manage time, prioritize projects, and work efficiently.
- Strong willingness to learn about Executive Benefits and nonqualified plan markets; pursue relevant industry education and credentials (e.g., NQPC designation).
- Proficient with Microsoft Office applications including Excel, PowerPoint, One Note, One Drive, Word, and Outlook.
- Strong ability to learn new systems and tools; self‑motivated, disciplined, and research oriented.
- Excellent communication and listening skills; able to interact effectively with a broad range of individuals.
- Highly organized with strong prioritization and project management skills; utmost attention to detail.
- Positive, upbeat attitude; thrive in a fast‑paced environment; work comfortably with others in virtual and in‑person settings.
- Ambition to learn, grow, and excel within a growing organization; maintain confidentiality and professionalism.
- Earned bachelor’s degree (or equivalent).
- One or more years of experience in Operations Management and/or Project Management.
- One or more years of experience in employee health & welfare or retirement benefits industry preferred.
- Exceptional MS Office experience required; expert level proficiency in Excel and PowerPoint preferred.
Base pay range: $50,000 to $75,000 per year, dependent on skills, education, qualifications, professional experience, and location. Eligible for variable compensation, commission, and/or annual bonus based on individual and company performance.
