We are seeking a Physician Services Coordinator to lead the administrative operations of our Physician Services department. This is an exciting opportunity for an experienced healthcare professional who enjoys coordinating complex activities, supporting physicians and advanced practice providers, mentoring staff, and driving operational excellence in a mission-focused organization.

What you'll do

As the Physician Services Coordinator, you will oversee the day-to-day administrative operations of the Physician Services department while supporting our physicians, nurse practitioners, and administrative team across multiple locations.

Key responsibilities include:

  • Supervise and mentor the Physician Services Administrative Assistant team.
  • Foster a culture of responsiveness, teamwork, accountability, and customer service excellence.

Physician & Provider Operations

  • Coordinate physician and nurse practitioner schedules to ensure provider coverage and operational efficiency.
  • Manage provider calendars, IDT meeting assignments, on-call schedules, and other scheduling.
  • Collaborate with clinical leaders, intake, admissions, and other departments to ensure timely provider response to patient care needs.
  • In collaboration with the Chief Medical Officer, responsible for ensuring Fellows/Residents from other institutions have appropriate onboarding, shadowing experiences as well as independent patient visits.
  • Support providers with daily operational processes, including documentation, electronic systems, timekeeping, mileage reporting, and e-prescribing.

Regulatory Compliance & Patient Care Support

  • Ensure Medicare-required face-to-face visits and related documentation are completed accurately and on time.
  • Maintain compliance with organizational policies, regulatory requirements, and physician services standards.

Operational Excellence

  • Identify opportunities for process improvement and implement solutions that enhance efficiency and service delivery.
  • Maintain accurate electronic and manual departmental records, policies, and procedures.
  • Partner with Physician Services leadership to implement new systems and workflows.
  • Support productivity goals while helping ensure providers can focus on delivering exceptional patient care.

What you bring

  • Minimum of five years of experience in a healthcare, medical practice, or physician office setting.
  • Demonstrated experience coordinating activities in a multidisciplinary healthcare environment.
  • Strong organizational, planning, and time-management skills; ability to manage multiple priorities while meeting deadlines in a fast-paced setting.
  • Knowledge of provider scheduling, healthcare operations, and regulatory requirements.
  • A proactive, collaborative approach with a commitment to continuous improvement and service excellence.
  • Proficiency with Microsoft Office, including Outlook, Excel, Word, and PowerPoint.
