Accountability Objective:
The Administrative Specialist is responsible for providing a variety of administrative support to the Illinois Works Pre‑Apprenticeship grant.
- Prepare and maintain progress reports for the Illinois Works system.
- Enter pertinent data into the Illinois Works online data repository.
- Calculate student retention and completion for the program.
- Attend trainings and program meetings, sharing information with relevant constituents.
- Assist students by connecting them with campus and off‑campus resources (daycare, transportation, math and reading tutoring, counseling) and any other hurdles they may encounter.
- Act as a point of contact for internal and external stakeholders, providing excellent customer service and addressing inquiries or requests.
- Collaborate with team members to ensure efficient workflow and effective communication within the office.
- Assist in organizing and coordinating office events or special projects.
- Track attendance/post‑assessments on a daily basis and calculate stipends to be paid on a bi‑weekly basis.
- When available, assist students with tutoring if campus resources are not available.
- Act as lab monitor when necessary.
- Responsible for NCCER module trainings and administration of post‑assessment tests.
- High School diploma or GED Certificate.
- Proven experience as an Administrative Specialist or in a similar role.
- Proficient in using office software such as Microsoft Office Suite.
- Excellent organizational and time management skills.
- Strong attention to detail and accuracy.
- Effective communication and interpersonal skills.
- Ability to prioritize tasks and work independently in a fast‑paced environment.
- Discretion and confidentiality when handling sensitive information.
- Strong problem‑solving skills and ability to adapt to changing priorities.
- Ability to think proactively about undertakings and take initiative.
- 1–3 years experience as an Office Assistant.
- Completion of one year Office Systems Certificate.
