General Qualifications
  • High school diploma required;
    Associate degree preferred
  • At least two years of school secretary experience preferred
  • Demonstrated working knowledge of employee information systems preferred
  • Demonstrated working knowledge of computer applications, including word processing, spreadsheets, database management, email, internet searching, and computer file management
  • Demonstrated working knowledge of fundamental office skills, including basic bookkeeping, filing, phone etiquette, proofreading, and typing/keyboarding skills
  • Demonstrated effective public speaking, interaction, and problem‑solving skills

Essential

Job Responsibilities
  • Process new student enrollments, including collecting transcripts, entering data into the student management system, completing files, and distributing information to counselors and departments.
  • Process student transfers by clearing attendance records, gathering education and health records, submitting transfer requests, and documenting transfers.
  • Process student withdrawals, homebound, and resident enrollments, properly marking status in the system and printing necessary records.
  • Maintain student records in compliance with FERPA and the Illinois Student Records Act, filling requests for transcripts, discipline, attendance, and health information.
  • Manage virtual school enrollments, review accounts, enter grades, and keep records current.
  • Schedule student courses (e.g., Credit Recovery, alternative school, summer school), maintain summer school records, and assist with scheduling for special programs.
  • Handle semester‑closing activities: add physical education waivers, process audits and retakes, schedule and enter grades for Middle College and Middlefork, compute GPA and student rank, process grade change requests, and post Honor Roll.
  • Support graduation by ordering diploma covers, confirming graduate names, ordering diplomas, preparing the graduation ceremony marching list, maintaining row charts, and sending final transcripts to colleges as requested.
  • Prepare and submit monthly enrollment reports to the Assistant Superintendent, end‑of‑year state reports, cohort reports, freshman on‑track records, and other requested reports.
  • Assist with district registration paperwork, determine post‑summer retentions and promotions, ship graduate CUMs, affix final transcripts to enrollment cards, file Social Security forms, complete insurance forms, update transcripts with ACT scores and other academic information, and assist guidance counselors as needed.
  • Maintain standards specified in the Professional Performance Expectations for District 118 Employees.

Terms of Employment
  • 237‑day position; wages, hours, terms, and conditions in accordance with the Collective Bargaining Agreement between the Board of Education and the Danville Education Association.
