Facilities Specialist

The Facilities Specialist plays an important role in supporting the daily operations of CCMSI locations nationwide by coordinating facility services, telecommunications support, vendor relationships, equipment management, records administration, and office logistics.

This position serves as a key resource for office locations across the organization, helping ensure facilities-related requests are resolved efficiently, records are accurately maintained, and vendors and service providers deliver timely support. The successful candidate will work closely with building management, telecommunications providers, office personnel, and internal business partners to maintain a productive and professional work environment.

The ideal candidate is highly organized, detail-oriented, resourceful, and comfortable managing multiple priorities simultaneously. Success in this role requires strong administrative skills, excellent follow-through, and the ability to proactively identify and resolve issues before they become larger problems.

Key Responsibilities
  • Coordinate office telecommunications requests, including phone extensions, relocations, office moves, and service changes
  • Troubleshoot telecommunications issues and coordinate service tickets with vendors and providers
  • Manage telephone and voicemail system updates for office closures, holidays, and emergency communications
  • Coordinate the pickup, delivery, installation, and replacement of office equipment, including copy and postage equipment
  • Maintain facilities-related records, spreadsheets, databases, and vendor information
  • Scan, organize, and maintain invoices related to telecommunications, postage, security services, equipment, storage, and shredding services
  • Coordinate office setup activities and maintain associated tracking documentation
  • Serve as a liaison between CCMSI offices and building management regarding facility concerns and maintenance issues
  • Support records management activities, including coordination with document storage vendors
  • Assist with project coordination efforts, including meeting documentation and follow-up activities
  • Monitor and track facilities requests to ensure timely resolution
  • Identify opportunities to improve processes, organization, and efficiency within facilities operations
Required Qualifications
  • High school diploma or equivalent
  • Strong organizational and administrative skills
  • Excellent attention to detail and accuracy
  • Ability to manage multiple priorities and deadlines simultaneously
  • Strong problem-solving and troubleshooting abilities
  • Excellent verbal and written communication skills
  • Proficiency in Microsoft Office applications, including:
    Excel, Outlook, Word, Power Point
  • Experience maintaining spreadsheets, records, and tracking systems
  • Strong customer service skills and professional demeanor
  • Ability to work independently and exercise sound judgment
  • Reliable attendance and punctuality
Preferred Qualifications
  • Associate degree
  • Experience in facilities administration, office operations, or administrative support
  • Experience coordinating vendors, service providers, or building management relationships
  • Experience supporting telecommunications systems or service ticket management
  • Records management or document retention experience
  • Advanced Microsoft Excel skills
  • Experience supporting office relocations, equipment management, or facilities projects
  • Experience identifying and implementing process improvements
