Accountability ObjectiveThe Administrative Assistant, Student Services is responsible for the secretarial needs of the Dean of Students. Additionally, the incumbent provides information, services and direction to appropriate individuals (prospective, present, transfer students, as well as staff members).
Required Qualifications- Associate Degree of Applied Science in Business (or related degree).
- Minimum of 1-3 years’ experience as Assistant, secretary, or front line staff with customer service skills
- Demonstrated work experience, knowledge and competency in Microsoft Office:
Word, Access & Excel - Excellent communication and customer service skills
- Two years’ experience in a related position
- Minimum typing speed of 40 w.p.m.

- Perform secretarial and clerical duties for the Dean’s Office.
- Answer and appropriately direct all telephone inquiries.
- Receive and distribute mail.
- Provide general information about student services and student related procedures.
- Maintain appointments for the Dean of Students.
- Create and maintain student files for Student Services.
- Assist with registration, including monitoring courses and availability of seats. Perform basic ads, drops and withdrawals.
- Perform prerequisite checks for English, Math and other gatekeeper courses.
- Monitor curriculum guides for transferable and career programs. Create new guides and update guides yearly or when changes occur.
- Schedule office and table visits for 4-year partners and therapist on campus.
- Handle with discretion students owing a balance, having academic or personal problems and eensure that they are directed to the appropriate individual.
- Assist with training, scheduling, hiring, overseeing and mentoring student employees.
- Assist Dean in yearly budget planning and any other reporting.
- Order and maintain office supplies.
- Make all travel arrangements for the Dean of Students. Complete all paperwork and obtain signatures for travel.
- Understand and implement all confidential information security policies: FERPA , GLBA , HIPA , etc.
- Maintain the day-to-day office area and equipment.
- Assist with the completion and delivery of special projects and events, as requested.
- Help students needing assistance.
- Assist students with accessing Self Service, MyDacc, and Student Planner.
- Assist students with accessing the New Student Orientation, FAFSA website and the Online Learning Orientation.
- Work with the Marketing/Recruitment Department to update and provide information about Student Services activities to social media (Facebook, Twitter, electronic boards, newsletters, etc…). Maintain Advisement’s Twitter/social media accounts and post relevant information as needed.
- Assist in the planning and execution of the yearly Career Fair and State University Transfer Day.
- Assist students with making referral to the American Job Center.
- Assist with probation and suspension letters & mailing.
- Send text/email reminders to students.
- Assist students requesting Degree Audits.
- Assist and participate in retention & recruitment activities.
- Engage & assist with CRM Advise.
- All other duties as assigned.
