- Ensures that digital records are securely stored and correctly classified within the county’s electronic document management system, in compliance with county retention schedules and Pennsylvania Historical and Museum Commission (PHMC) guidelines.
- Work with sensitive and confidential documents from various county departments and offices
- Prepare paper records for scanning by removing staples, paper clips, and bindings.
- Organize and sort records based on retention schedules and indexing requirements.
- Operate high-speed scanners and associated software to capture digital images of documents.
- Index scanned images with accurate metadata (e.g., case number, parcel , document type, date).
- Perform quality control checks to ensure images are clear, complete, and properly indexed.
- Identify records that are damaged or unsuitable for scanning and elevate as needed.
- Follow privacy, confidentiality, and records management policies, including HIPAA or CJIS if applicable.
- Assist with uploading, filing, or archiving digital records into the county’s document management system.
- May assist with the destruction of original documents after digitization and retention approval.
- Support other records management tasks such as inventorying, labeling, or retrieving documents.
- Receives files, papers, and boxes from all county offices via interoffice mail.
- Retrieves files and boxes from storage. Sorts, packs, and addresses records and send to all County offices via interoffice mail.
Required
Education:
High school diploma or equivalent.
Required Experience:
Six to twelve (6-12) months working experience in clerical assignments. Use of Microsoft Office Suite ( Outlook, Excel, and Word). Must possess a valid PA driver’s license.
