This position supports the Purchasing Department by preparing orders, maintaining records, and assisting with daily clerical tasks. The work helps ensure that goods and services are acquired correctly and efficiently.
Responsibilities- Order Processing: Prepare and process Advancement Account orders using approved requisitions and quotations
- System Use: Operate procurement systems such as SRM to print and process purchase orders and requisitions
- Document Uploading: Upload contracts and purchase orders to the Pennsylvania Treasury Department website for Right to Know compliance
- Clerical Support: Complete routine office tasks such as picking up mail, posting and distributing orders, typing correspondence, filing, and answering purchasing inquiries
- Storeroom Assistance: Provide relief in the storeroom when needed
- Equipment Records: Maintain records of warrantied office and gym equipment
- Full time employment
- Work hours are 8:00 AM to 4:00 PM, Monday‑Friday, with a 30‑minute lunch
- Overtime and travel – as needed (rarely)
- May change based on operational needs

- Six months as a Clerical Assistant 1 (Commonwealth job title or equivalent federal job title, as determined by the Office of Administration)
- Graduation from high school
- An equivalent combination of experience and training

- You must be able to perform essential job functions
- A conditional offer of employment will require a medical examination
- This position falls under the provisions of the Older Adult Protective Services Act. Under the Act, a conditional offer of employment will require submission and approval of satisfactory criminal history reports, including but not limited to PA State Police and FBI clearance
