Accounting/Bookkeeping Position
The purpose of this classification is to perform accounting/bookkeeping work, process financial documentation, and maintain financial records for the Revenue Department.
Essential functions include:
- Processing a variety of documentation associated with department operations, within designated time frames and per established procedures; receives, reviews, records, types, and/or distributes documentation; enters data into computer systems; logs, tracks, or maintains records regarding department activities; compiles data for further processing or for use in preparation of department reports; maintains computerized and/or hardcopy records.
- Providing information/assistance to vendors, customers, taxpayers, City departments/employees, and others regarding accounts payable and accounts receivable issues, customer accounts, invoices, fee schedules, deadlines, documentation, policies/procedures, or other issues; researches status of customer accounts; assists in resolving billing/account discrepancies; responds to routine questions or complaints; researches problems and initiates problem resolution.
- Preparing or completing various forms, reports, correspondence, lists, checks, purchase orders, expense reports, bank deposits, or other documents.
- Performing imaging/scanning of financial records for archival purposes; indexes imaged records for historical retrieval; maintains index of records scanned; assists in disposing of records that have met retention schedule requirements. Performs general/clerical tasks, which may include making copies, sending/receiving faxes, or processing incoming/outgoing mail.
- Providing assistance for general financial operations as needed; assists auditors and other departments by providing requested information and retrieving required records.
- Communicating with supervisor, employees, other departments, banking personnel, vendors, taxpayers, auditors, the public, outside agencies, and other individuals as needed to coordinate work activities, review status of work, exchange information, or resolve problems.
- Maintaining a comprehensive, current knowledge of applicable laws/regulations; maintaining an awareness of new trends and advances in the profession; attends workshops and training sessions as appropriate.
- Maintaining file system of departmental records; prepares departmental files; sorts/organizes documents to be filed; files/scans documents in designated order; retrieves/replaces files; conducts records maintenance activities in compliance with guidelines governing record retention.
- Operating a personal computer, scanner, postage machine, shredder, general office equipment, or other equipment as necessary to complete essential functions, to include the use of word processing, spreadsheet, database, e-mail, Internet, or other computer applications.
- Performs other related duties as assigned.
Assigned to Revenue Division:
- Establishes and maintains taxpayer files, business license accounts, and other databases; prints and mails annual tax forms, delinquent notices, and/or renewal notices on taxes and business and liquor licenses.
- Processes and posts payments for sales and use taxes, business licenses, and other miscellaneous taxes; groups payments into batches for processing; prepares and reconciles daily batch reports
- Provides information to the general public regarding billing and filing procedures and fee schedules; researches customer accounts to determine status of payments
- Receives various incoming license applications/renewals; reviews applications for accuracy and completeness; verifies compliance with City, County, and State code; confirms regulatory and zoning compliance and qualifications; acquires State background checks; routes applications for approval; issues temporary licenses for temporary and commercially sponsored events.
Knowledge, Skills and Abilities:
- Knowledge of simple arithmetic functions.
- Skill in the operation of equipment, machinery, tools, and/or materials used in performing essential functions.
