Job DescriptionWe are seeking a Part-Time Executive Assistant to provide administrative and organizational support to a growing, mission-driven organization. This individual will work closely with leadership to help manage day-to-day office operations, scheduling, communications, community outreach, and special projects.
The ideal candidate is organized, dependable, professional, self-motivated, and comfortable working independently . This position requires someone who can manage multiple priorities, communicate effectively, maintain confidentiality, and take initiative when needed.
Responsibilities- Provide general administrative and executive support to leadership
- Manage calendars, schedules, meetings, appointments, invitations, and RSVPs
- Answer phone calls and emails, respond to inquiries, take messages, and greet visitors professionally
- Perform general office duties including filing, data entry, typing, copying, scanning, mailing, and maintaining records
- Maintain accurate information in computer systems and CRM/database platforms
- Monitor and organize incoming correspondence and mail
- Maintain office supplies and assist with ordering as needed
- Prepare meeting materials, reports, agendas, newsletters, and other communications
- Assist with community outreach, marketing, social media, and organizational communications
- Help coordinate meetings, events, projects, and other activities
- Assist with event planning and logistics
- Support fundraising, grant research, community partnerships, and outreach initiatives
- Maintain organized contact lists and other administrative records
- Communicate professionally with leadership, board members, clients, partners, vendors, and members of the community
- Maintain confidentiality when handling sensitive information
- Follow organizational policies and procedures
- Take on additional administrative responsibilities and special projects as needed
- Previous administrative, executive assistant, office assistant, or related experience preferred
- Strong organizational and communication skills
- Proficiency with Microsoft Office, including Outlook, Word, and Excel
- Comfortable learning new computer systems and software
- Ability to multitask and prioritize competing responsibilities
- Strong attention to detail and accuracy
- Self-motivated and capable of working independently
- Dependable, reliable, and professional
- Ability to follow instructions while also taking initiative
- Strong interpersonal and customer service skills
- Ability to maintain confidentiality
- Positive attitude and willingness to learn
- Comfortable working in a professional, community-focused environment
