Job Goal:
To facilitate the smooth and efficient operation of the school office, serving as the primary liaison between the school and the community to ensure a positive, safe, and productive environment for students, staff, and families.

Technology Proficiency:
Demonstrated skill in Google Workspace (Docs, Sheets, Drive), and/or Microsoft Office products. Ability to master Student Information Systems, and other applications (Skyward experience preferred).
Administrative Expertise:
Working knowledge of modern office procedures and the operation of digital office equipment (multi-line phones, scanners, cloud-based filing).
Discretion:
Proven ability to handle highly confidential student and personnel information with integrity.
Experience:
Previous secretarial or administrative experience, preferably in an educational or high-traffic public setting.
1. Operations & Office Management
- Daily Workflow:
Manages the "front-of-house" operations, ensuring the office remains organized, professional, and responsive to student, family, and staff needs. - Communications:
Manages the school's main phone line and general email; assists with school correspondence as necessary. - Supply Management:
Monitors inventory and coordinates the ordering and distribution of supplies for the office and instructional staff. - Substitute Coordination:
Assists the Principal in managing daily staff absences and welcoming substitute teachers to the building.
2. Student Records & Enrollment
- Registration:
Facilitates the enrollment and withdrawal process, including the collection of residency verification and Illinois-mandated health records. - Attendance:
Monitors daily attendance, processes late arrivals/early dismissals, and maintains accurate records in the Student Information System. - Filing & Data:
Maintains digital and physical filing systems, ensuring "Cumulative Folders" are updated and transferred securely according to state law.
3. Safety & Security
- Visitor Protocol:
Serves as the first point of contact for school security, utilizing visitor management software to screen all guests. - Emergency Response:
Acts as a key member of the school safety team, assisting with drills and maintaining emergency contact databases.
4. Professionalism & Support
- Principal Support:
Assists the Principal and Assistant Principals with scheduling, meeting preparation, and the execution of day-to-day building operations. - Collaborative Spirit:
Works effectively with a diverse range of individuals, including students, parents, district officials, and law enforcement. - Adaptability:
Performs other tasks and assumes other responsibilities as assigned by the Principal, Assistant Principal, or District Administration.
Terms of Employment:
Starting Rate- $17.22/hour 10.5 Months (August 1 - June 30) Participation in the Illinois Municipal Retirement Fund (IMRF) Health, Dental, and Vision insurance available Paid sick leave and personal days
