Duties And Responsibilities
  • Supports the senior executive(s) independently and is delegated authority by the executive in matters of significance.
  • Performs standard, advanced and confidential duties requiring broad experience, skill and knowledge of organization policies and practices.
  • Resolves routine and complex inquiries as needed.
  • Handles a wide variety of administrative functions and executive support functions to ensure most effective operations of the executive's team(s).
  • Maintains executive's appointment schedule by planning and scheduling meetings, conferences, & tele/video conferences. Obtains information and arranges for air/ground transportation, lodging, etc. for business trips. Utilizes Concur to process, reconcile, approve and manage T&E expenses for Executives and their teams.
  • Prepares/composes/edits correspondence/memorandums/presentations/reports based on knowledge of MSC & departmental policies and procedures.
  • Event Planning/Large Group Meetings – including sourcing locations, arranging room blocks, transportation and other related logistics.
  • Distributes communications on behalf of the executive(s).
  • Welcomes guests, customers, suppliers, visiting executives and Board members by greeting them in person, by video, or direct inquiries.
  • Evaluates and recommends solutions to variety of administrative problems to enhance productivity and efficiency.
  • Ensures that requests for action or information are relayed to the appropriate staff member as directed by the Executive.
  • Answers email as requested, takes messages and/or directs inquiries to another party as appropriate. Researches/verifies information as necessary to respond to field inquiries.
  • Interprets requests and helps the Executive to implement action, decides whether the manager should be notified of important or emergency matters, as needed.
  • Maintains professional and technical knowledge by attending educational workshops, MSC University courses, reviewing professional publications and establishing personal networks with other departments such as facilities, HR and IT.
  • Fosters the MSC Culture in the department and throughout the company to ensure unity of purpose and fulfillment of MSC's mission.
  • Participates and/or helps facilitate special projects and events. Works collaboratively with the EA team to manage executive schedules and event success.
  • Manages Incentive Travel program, leads team through milestones and maintains project budget.
  • Assists with prize selection and sourcing for annual competitions.
  • Performs additional duties as required.
Education And Experience
  • Proven work experience as a Senior Executive Assistant or similar role.
  • High School Diploma or the equivalent is required;
    Bachelor's Degree strongly preferred.
  • Minimum of five years administrative experience is required.
Skills
  • Knowledge of Microsoft Office, Outlook and written business communication practices is required.
  • Experience exercising discretion and confidentiality with sensitive company information.
  • Ability to interact effectively with all levels of staff and management is required.
  • Familiarity with tele/video conferencing technology.
  • Excellent oral and written communications skills are also required.
  • Excellent organizational skills with ability to think proactively, multi-task and prioritize work.
Other Requirements
  • This position may require access to International Traffic in Arms Regulations Information (ITAR) and/or Controlled Unclassified Information (CUI).
Compensation

Compensation starting at $56,280 - $88,440 depending on candidate…
