DUTIES and RESPONSIBILITIES
  • Provide high-level administrative, operational, and project management support to senior executive leadership.
  • Perform standard, advanced and confidential duties requiring broad experience, skill and knowledge of organization policies and practices.
  • In addition to traditional executive support responsibilities, play an active role in project coordination, cross-functional initiative management, budget tracking, and process improvement.
  • Resolve routine and complex inquiries as needed.
  • Handle a wide variety of administrative functions and executive support functions to ensure the most effective operations of the executive's team(s).
  • Maintain executive's appointment schedule by planning and scheduling meetings, conferences, & tele/video conferences; obtain information and arrange for air/ground transportation, lodging, etc. for business trips; utilize Concur to process, reconcile, approve and manage time & expense expenses for Executives and their teams.
  • Prepare, compose and edit correspondence, memorandums, presentations, reports based on knowledge of MSC & departmental policies and procedures.
  • Lead planning and execution of large-scale meetings and events (200‑250 attendees), including sourcing locations, arranging room blocks, transportation and other related logistics to ensure seamless, high‑quality experiences.
  • Distribute communications on behalf of the executive(s).
  • Welcome guests, customers, suppliers, visiting executives and Board members by greeting them in person, by video, or direct inquiries.
  • Evaluate and recommend solutions to a variety of administrative problems to enhance productivity and efficiency.
  • Ensure that requests for action or information are relayed to the appropriate staff member as directed by the Executive.
  • Answer email as requested, take messages and/or direct inquiries to another party as appropriate; research/verify information as necessary to respond to field inquiries.
  • Interpret requests and help the Executive to implement action; decide whether the manager should be notified of important or emergency matters, as needed.
  • Maintain professional and technical knowledge by attending educational workshops, MSC University courses, reviewing professional publications and establishing personal networks with other departments such as facilities, HR and IT.
  • Foster the MSC Culture in the department and throughout the company to ensure unity of purpose and fulfillment of MSC's mission.
  • Participate and/or help facilitate special projects and events; work collaboratively with the EA team to manage executive schedules and event success.
  • Manage Incentive Travel program, lead team through milestones and maintain project budget.
  • Assist with prize selection and sourcing for annual competitions.
  • Perform additional duties as required.
EDUCATION and EXPERIENCE
  • Proven work experience as a Senior Executive Assistant or similar role.
  • High School Diploma or the equivalent is required;
    Bachelor's Degree strongly preferred.
  • Minimum of five years administrative experience is required.
SKILLS
  • Knowledge of Microsoft Office, Outlook and written business communication practices is required.
  • Experience exercising discretion and confidentiality with sensitive company information.
  • Ability to interact effectively with all levels of staff and management is required.
  • Familiarity with tele/video conferencing technology.
  • Excellent oral and written communications skills are also required.
  • Excellent organizational skills with ability to think proactively, multi‑task and prioritize work.
  • Project Coordination a plus.
OTHER REQUIREMENTS
  • This position may require access to International Traffic in Arms Regulations Information ("ITAR") and/or Controlled Unclassified Information ("CUI").
  • 20% travel may be required.
COMPENSATION

Compensation starting at $58,000 - $91,080 depending on candidate location and experience.
