Under general supervision of the Center Co-Directors and working closely with the Coordinator Supervisor, this position serves as the initial point of contact for entities we interact with – including investigators, the School of Veterinary Medicine (SVM) and Veterinary Medicine Teaching Hospital (VMTH) departments, campus research, and research sponsors. The primary responsibilities are to facilitate the development and expansion of veterinary clinical trials in the SVM, to manage ongoing trial and center administrative responsibilities, and to help raise awareness of SVM clinical trials throughout the UC community and the region.
Communications and Relationship Management:
Develop and support trial activities by cultivating relationships with SVM personnel, clinical trials coordinators, sponsors, and potential donors.
Trial Development and Management:
Develop budgets, prepare and submit research proposals to the central Office of Research, and serve as liaison between central campus administration, sponsors, and SVM investigators. Manage financial obligations, track clinical trial invoicing, assist with regulatory submissions, database stewardship, and other trial administrative tasks.
General Administration:
Perform general administrative tasks, including scheduling investigator meetings, tracking inquiries, maintaining internal and shared files and databases, web maintenance, coordinating facilities and IT needs, and organizing financial accounts and reports. Attend weekly meetings with center team members, including the Co-directors, Financial Analyst, Clinical Trials Coordinator Supervisor, and Clinical Trial Coordinators, to ensure smooth coordination of center operations and activities.

Qualifications- Bachelor’s degree in a relevant scientific field (e.g., biology, veterinary science, public health) or equivalent combination of education and experience in clinical trials, research administration, or public relations.
- Ability to represent the VCCT and SVM to the public, including clients and potential collaborators in academia, industry, and government.
- Demonstrated interpersonal skills to establish and maintain working relationships with colleagues, faculty, clinicians, technicians, VMTH administrators, trainees, students, donors, and industry partners, emphasizing collaboration, tact, diplomacy, flexibility, professionalism, and discretion.
- Productive in work volume, speed, quality, and consistency.
- Ability to work independently and as a team to see projects through to completion on deadline and satisfy industry partner and University goals.
- Superior organizational and administrative skills to simultaneously manage multiple projects and job responsibilities.
- Proficiency with computer systems and software related to administrative tasks, financial tracking, and clinical trials, including Microsoft Office Suite (Word, Excel, PowerPoint), and other platforms (e.g., REDCap, regulatory submission software, website content management).
- Experience in contract and grant administration related to proposal preparation/review/submittal and award administration processes. Familiarity with REDCap, IACUC, and budget creation templates.
- Experience interpreting and explaining requirements, policies, procedures and principles governing clinical research in people or animals.
- Demonstrated knowledge and understanding of University of California policies and practices related to Sponsored Programs activities, research administration, grant fund management.
