Position: Graduate Program Coordinator (STDT SVC ADVISOR 3 SV)

Job Summary

Reporting to the Chairs of the Graduate Groups and under general supervision of the Department CAO, independently develop, implement, and manage two complex and comprehensive graduate programs: the UC Davis Institute of Transportation Studies' Transportation Technology and Policy (TTP) and Energy and Efficiency Institute's Energy Graduate Group (EGG). Independently advise applicants, students, and faculty of program requirements, curriculum planning, policies, resources, and financial aid for both programs.

Counsel students on personal and academic issues impacting performance, time to degree, and future career options for both programs. Specifically, plan, manage, and implement all aspects of the recruitment and admissions process; provide proactive, in-depth, wide-range and complex academic advising; perform articulation for TTP and EGG course requirements; communicate and develop policies and procedures that ensure compliance with Graduate Studies and University rules, regulations, and deadlines;

and independent analysis, interpretation and administration of numerous and intricate regulations, policies, and operations. Create and implement outreach efforts including website design and updates, planning and hosting events. Maintain alumni databases, relationships, and communications. Perform analytical writing for TTP and EGG program reviews including synthesizing statistics and information on student performance, funding, faculty involvement, alumni placement. Maintain relationships and communication between students, faculty, and staff.

Provides confidential administrative support and serves as the primary liaison between the programs and Graduate Studies. Develop and manage two separate graduate group budgets including all fellowships, awards, student employment, and operating funds. This is a critical position with independent management responsibility for graduate support services.

Qualifications

Minimum Qualifications - For full consideration, applicants are encouraged to upload license and/or certification if required of the position

  • Bachelor's degree in related area and / or equivalent experience / training
  • Experience advising and counseling graduate program students in a college/university environment while maintaining confidentiality of student records and apply federal and state FERPA and Information Privacy Act regulations.
  • Experience working with policies, procedures and requirements related to graduate student groups and programs including student fees, fellowship/grant regulations, and student services to appropriate referrals; and experience with general curricular elements and structures (e.g., courses, units, prerequisites, majors and minors) and pedagogical approaches at the college and university level.
  • Advising skills to recognize and handle difficult/unpleasant situations; exercise discretion; identify problems and needs; make competent referrals; develop solutions; and maintain confidentiality;
    Interpersonal, customer service, and communication skills to clearly and effectively interact with individuals of varying ages and cultural backgrounds and perspectives, and to make public presentations to individual and groups.
  • Analytical skills to evaluate and interpret complex policies, procedures, and reference materials that apply to graduate students; to evaluate and interpret a wide variety of domestic and international college credentials.
  • Writing, editing and proofreading skills to answer correspondence, write reports and develop informational materials using correct grammar and spelling;
    Skills in word-processing, spreadsheets, databases, and internet programs/applications to prepare correspondence, create extensive reports and informational materials, obtain information, and manage web pages.
  • Leadership skills to advocate for and guide graduate programs toward their stated mission; as well as management skills to lead, plan, coordinate, evaluate, initiate creative projects, and solve problems.
Preferred Qualifications
  • Experience with graduate group recruitment including coordinating outreach activities and hosting events.
  • Experience working in an academic environment with pressures (personal/social) encountered by students at a major research university, including students from underrepresented groups.
  • Knowledge of campus academic, student, and community services and resources, including for UCD employment and immigration.
  • Knowledge and skill using BANNER, SLATE Graduate Student Location Inventory (GSI), Grad Hub, internal Fellowship Nomination Manager and other web-based tools. Knowledge of online course scheduling, Integrated Curriculum Management System (ICMS), online statistical data reports (DESII), and Aggie Enterprise.
  • Knowledge of departmental academic goals and programs, requirements and educational options; options/specializations offered in the graduate groups; and faculty research interests;
