Description

We are looking for a detail-oriented Administrative Assistant to join our team in Dayton, Ohio. This Contract to permanent position offers an exciting opportunity to contribute to various administrative and operational tasks while supporting our office's efficiency and organization. The ideal candidate will bring strong skills in Quick Books, Excel, and customer service while demonstrating adaptability to take on diverse responsibilities.

Responsibilities:

- Assist with accounts receivable processes and ensure timely follow-ups on outstanding payments.

- Handle data entry tasks with accuracy and efficiency, including scheduling and invoice preparation.

- Utilize Quick Books to maintain financial records and generate reports as needed.

- Respond to marketing and service calls, providing excellent customer service and dispatching support as required.

- Collaborate with clients to address past-due accounts through soft collections.

- Send invoices and refine operational details to improve performance metrics.

- Assist with scheduling and coordination of office activities to maintain smooth operations.

- Support problem-solving efforts within the office and address any arising issues.

- Maintain communication with clients and stakeholders to ensure their needs are met effectively.

Requirements - Proven experience in administrative roles, showcasing proficiency in Quick Books and Microsoft Excel.

- Strong customer service skills, including handling inquiries and providing dispatching support.

- Ability to manage data entry tasks with precision and attention to detail.

- Comfortable with soft collections and accounts receivable processes.

- Effective communication skills, both verbal and written, to interact with clients and colleagues.

- Adaptability to take on diverse responsibilities and support office operations.

- Previous experience in preparing invoices and scheduling is highly desirable.
