Dinsmore is seeking a Project Assistant at our Dayton, OH location who will support the Tax, Benefits and Wealth practice group. This role focuses on project coordination, document preparation, client communication, and administrative support to ensure estate planning projects are completed accurately, efficiently, and on schedule.
Responsibilities- Assist with coordinating projects, tracking deadlines, and monitoring progress
- Maintain organized client files (digital and physical) and ensure documents are up to date
- Prepare checklists and status reports for active matters
- Draft and format documents (e.g., wills, trusts, powers of attorney, healthcare directives) from templates under attorney supervision
- Proofread documents for accuracy, consistency, and completeness
- Assemble and prepare documents for client review and execution
- Follow up with clients to obtain required information and signatures
- Schedule appointments and manage calendars for attorneys and estate planning teams
- Enter and update client and matter information in case management systems
- Assist with billing support, time tracking, and expense documentation as needed
- Two years’ of assistant experience
- Strong organizational skills and attention to detail
- Excellent written and verbal communication skills
- Working knowledge of Microsoft Office products (Outlook, Word, Excel, PowerPoint)
- Ability to maintain and manage databases and create reports
- Self-starter and comfortable working in a fast-paced team/collaborative environment
- Prior experience in a law firm, estate planning practice, or professional services environment preferred
- Familiarity with legal terminology and document management systems a plus
