Position Overview
Proposal Coordinator – Working in the Proposal Department
, reporting to the Senior Proposal Manager
. Responsible for supporting proposal managers in the aviation industry throughout the proposal development process.
Applicants must already possess work authorization; we do not provide visa sponsorship.
What You Will Do- Support proposal managers, attend kick‑off, review, and pursuit meetings; document action items and strategy discussions; issue subconsultant data calls; and manage received information.
- Complete corporate forms required in proposal submission.
- Respond to data calls from teaming partners.
- Collaborate with technical writers to maintain toolkit content (resumes, project descriptions, boilerplate).
- Maintain and archive image/graphic libraries through Open Asset.
- Coordinate hard copy production and shipment of final submittals as needed.
- Maintain client database through designated tools.
- Ensure consistency and storage of information.
- High school diploma and at least one year of experience in proposals, marketing, business development support, or administrative support; associate’s degree or higher preferred.
- Proposal or related experience within the aviation industry highly preferred.
- Proficiency in Microsoft Office and Adobe Acrobat; experience with InDesign a plus.
- Strong interpersonal skills, good judgment, and effective communication.
- Strong attention to detail and ability to prioritize multiple tasks.
- Ability to work independently as well as in a team.
- Ability to anticipate, understand, and respond to internal client needs including proposal manager, project manager, and technical SMEs.
