Key Responsibilities- Serve as one of the primary points of contact for incoming client calls and appointment scheduling
- Coordinate and manage complex calendars, meetings, workshops, seminars, and firm events
- Process, organize, and maintain client files and documentation with a high level of accuracy and attention to detail
- Navigate multiple systems and software platforms throughout the day, including scheduling, communication, CRM, and document management tools
- Support leadership team with administrative coordination, follow‑through, and operational support
- Maintain and update the firm’s master calendar, deadlines, scheduling priorities, and event coordination
- Assist with operational projects, client communications, correspondence, forms, mailings, and workflow management
- Help ensure processes are followed consistently and tasks are completed accurately and on time
- Strong organizational skills and ability to manage repetitive workflow with consistency and accuracy
- Someone who enjoys routine and repetitive work
- Ability to multitask and transition quickly between phone calls, scheduling, systems, and administrative requests
- Strong memory recall, follow‑through, and task management skills
- Comfortable learning and using new technology, systems, and AI‑assisted tools
- Excellent communication skills and a client‑service mindset
- Ability to work effectively in a fast‑paced, team‑oriented environment
- Positive attitude, adaptability, and willingness to jump in where needed

- Experience in legal, financial services, healthcare, or another detail‑oriented professional services environment preferred
- Experience working in a high‑volume phone and scheduling environment strongly preferred
- Experience using MS Outlook, CRM, scheduling, document management, or workflow systems preferred
