Position Overview
Woolpert is hiring a Project Coordinator to support our Dayton, OH office. The role requires a proactive self‑starter with strong written and verbal communication, organization, time‑management, and attention to detail. The coordinator will work within a projectized matrix organization, handling multiple project tasks, prioritizing workload, and communicating with the direct manager.
What You Will Do- Assist Project Managers with project set‑up, resource scheduling, budget development, and coordination with accounting and controls staff.
- Support scope, schedule, budget tracking, change order processing, invoicing, accounts receivable collections, and monthly progress report development.
- Assist with project monitoring and controlling processes, including data trackers, change and issue logs.
- Set up and manage administration of project Team/SharePoint sites and document control processes.
- Maintain electronic filing in accordance with document management policies.
- Run or review reports from financial and accounting data software.
- Support deliverable production: editorial review, formatting, production, and compilation.
- Handle varying tasks for multiple projects concurrently.
- Work with virtual teams throughout the United States and Europe; organize conference calls, track action items, and facilitate resolution.
- Follow safe work practices and adhere to company guidelines and policies.
- Excellent written and verbal communication skills.
- Interpersonal and team skills to work independently and with multi‑national staff.
- Ability to handle ambiguity and drive tasks to completion with minimal oversight.
- Strong organization skills; capacity to handle multiple tasks and projects concurrently and prioritize workload.
- Problem‑solving ability to fill information gaps and seek concurrence from senior staff when needed.
- Ownership of quality and accuracy of own work.
- Desire to improve knowledge and capabilities.
- Intermediate skills in Microsoft Office products (Word, Excel, PowerPoint).
- Basic understanding of scheduling principles and software, or desire to learn (including Microsoft Project).
- Professionalism and discretion in all interactions.
- Must be able to travel up to 10% for local, regional, and national clients and projects.
- High School Diploma.
