Position Overview

Woolpert is hiring a Project Coordinator to support our Dayton, OH office. The successful candidate will be a proactive, self‑starter with strong written and verbal communication skills, excellent organization, time-management abilities, and an attention to detail and accuracy. This position operates in a projectized matrix organization and requires the ability to take on multiple project work from various sources, prioritize effectively, and communicate workload to a direct manager.

We are unable to provide visa sponsorship for this position; applicants must already possess work authorization in the country where the job is located.

What You Will Do
  • Assist Project Managers with project set-up, resource scheduling, budget development, and coordinating with Project Accountants and Project Controls staff.
  • Support scope, schedule, budget tracking, change order processing, invoicing, accounts receivable collections, and monthly progress report development.
  • Assist with project monitoring and controlling processes, including developing and managing data trackers, updating change and issue logs, and other project‑related support duties as assigned.
  • Set up and manage administration of project Team/SharePoint sites (as requested) and manage document control processes through those sites.
  • Maintain electronic filing on servers following document management policies and protocols.
  • Run or review reports from financial and accounting data software.
  • Support deliverable production including editorial review, formatting, production, and compilation.
  • Handle varying tasks for multiple projects concurrently.
  • Work with virtual teams throughout the United States and Europe, organize conference calls, track action items, and facilitate resolution and follow‑up actions.
  • Follow safe work practices and adhere to company guidelines and policies for planning and executing work in a safe manner.

  • Interpersonal and team skills for independent and team-based work with multi‑national staff.
  • Ability to handle ambiguity and drive tasks to completion with minimal oversight.
  • Strong organizational skills; capacity to manage multiple tasks and projects while prioritizing workload.
  • Skill in identifying information deficiencies, problem‑solving, and seeking concurrence from senior staff.
  • Ownership of quality and accuracy of own work.
  • Desire to improve knowledge and capabilities.
  • Intermediate skills in Microsoft Office (Word, Excel, PowerPoint).
  • Basic understanding of scheduling principles and software, or willingness to learn (e.g., Microsoft Project).
  • Professionalism and discretion in all interactions.
  • Ability to travel up to 10% for local, regional, and national clients and projects.
Education/Experience

High School Diploma.
