The Medical Support Assistant provides advanced administrative and patient scheduling support in compliance with Department of Veterans Affairs (VA) AMSA standards. The role is responsible for managing comprehensive scheduling and consult processes while ensuring the accuracy, integrity, and timeliness of Veteran records across multiple VA systems.
This role requires strict adherence to VA national directives, Joint Commission standards, VISN and local Standard Operating Procedures (SOPs), privacy and confidentiality regulations (HIPAA/VA), and safety and infection control guidelines. The AMSA works collaboratively with clinical and administrative teams to support high-quality Veteran care and efficient clinic operations.

Compensation$19.14 per hour plus $5.09 in Health & Welfare benefits.
ScheduleAssigned schedule between 6:00 a.m. and 6:00 p.m. EST, Monday through Friday, includes all Federal holidays.
Responsibilities- Perform advanced patient scheduling and appointment management in accordance with VA AMSA standards
- Verify and update Veteran eligibility, demographics, and insurance information
- Manage consults, recalls, RTC orders, and open scheduling requests
- Monitor and document all scheduling actions accurately and timely
- Utilize VA systems including: ISS, Oracle EHRM, VistA, CTM / CTB, VSE
- Coordinate with internal departments such as:
Enrollment & Eligibility, Release of Information (ROI), Beneficiary Travel, Decedent Affairs - Maintain compliance with privacy, security, and confidentiality requirements
- Complete all mandatory VA trainings and competency requirements
- Use assigned computer systems, telephony, and office equipment to support clinic workflow
- Support patient care operations through written and verbal provider orders
- Maintain professionalism in fast paced and high stress environments
- Sign attendance logs upon arrival and departure as required
- Advanced medical scheduling and appointment coordination skills
- Ability to manage consults, recalls, RTC orders, and open requests
- Accurate verification and maintenance of patient eligibility, demographics, and insurance data
- Proficiency with EHR and scheduling systems; ability to learn VA applications quickly
- Strong attention to detail and accurate data entry/documentation skills
- Effective verbal and written communication with Veterans, providers, and staff
- Excellent customer service and telephone etiquette
- Ability to prioritize tasks and work efficiently in a fast paced clinical environment
- Working knowledge of privacy, confidentiality, and HIPAA/VA requirements
- Must be a US Citizen

- One (1) year above high school OR equivalent combination of education and experience accepted
- Minimum six (6) months of clerical, office, or administrative experience demonstrating ability to acquire and perform AMSA duties
- Foreign education:
Education completed outside the U.S. must be evaluated by a recognized credentialing organization and deemed equivalent to U.S. education standards
