Job Summary

Medical Support Assistants must perform a full range of receptionist duties to our VA community located at Dayton Medical Center. Medical Support Assistants are required to deliver high-quality, compassionate, and consistent care to all individuals

Pay Rate

$17.72 / hr + $5.09 H & W Fringe

Duties
  • Perform the full range receptionist and customer service duties, for the proper and timely treatment of patients and maintaining appointment schedules for one or more clinics or units.
  • Adjusting appointment times, locations, or dates as well ash shift patients to other healthcare providers as conflict with staffing and/or coverage occurs.
  • Use correct Veteran Affairs identification of all patients using multiple forms of identification confirmation per department requirements.
  • Use interaction with the patient to validate and update demographic information, either in person during check-in or over the phone.
  • Explain the VA’s mandate to collect insurance information to veterans, their families, and other eligible patients.
  • Collect, scan and update health insurance information serving a major role in the revenue process
  • Contributes to the revenue collection process byu identifying patients with third party insurance
  • Maintain a high degree of tact and diplomacy
  • Professional customer service is essential when explaining procedures to veterans and their family members.
  • Ensure that all necessary health/administrative information is integrated into the current computerized patient record system correctly.
  • Screen/receive phone calls in a courteous and timely manner, determine the nature of request and provide the information desired using privacy and established clinic processes
  • Complete accurate scheduling in accordance with department requirements.
  • Schedule appointments and utilize department SOP's and department guidance with direction of admin leadership accurately in a timely manner.
  • All appointments shall be made with the patient’s input, either in person by phone or online to avoid patients having to make multiple trips to the medical center or whenever possible.
  • Notify primary care admin Supervisor when clinic access is less than desirable or if an individual patient cannot be scheduled within mandated clinic time frames.
  • Conduct a daily review of active/pending consults, Recall, return to clinic list communications for accuracy and disposition.
  • Participate in the daily team huddles and weekly team meetings to discuss patients care planning management with their assigned PACT team.
  • Manage position responsibilities as well as set priorities and deadlines adjusting the flow and sequencing of the work to meet team and patient needs.
  • Provide administrative services guiding patients to the Transportation Coordinator for Veterans support services functions.
  • Plan and provide support services in the following types of programs areas: electronic records management; program coordination; patient scheduling, space utilization services.
  • Advise veterans of eligibility for Beneficiary Travel reimbursement to include reimbursement rates, financial eligibility, etc.
  • Communicate with the veteran and stakeholders the conversion of special mode travel requests to patient travel reimbursement voucher claims, when appropriate.
  • Store, distribute, account for stores of materials
Qualifications
  • Two (2) to three (3) years of experience or have received certification from an accredited institution related to medical administration
