Coordinator for Fleet Operations

We are looking for a highly organized and proactive Coordinator to support our Fleet Operations Manager in maintaining the physical assets that keep Goodwill Easterseals Miami Valley moving.

You will be responsible for the "behind-the-scenes" logistics of our vehicle fleet, warehouse equipment, and donation programs. In this role, you will manage the scheduling and data tracking necessary to keep our infrastructure maintained and ensure our donors have great experience.

Essential Duties & Responsibilities
  • Fleet & Field Support:
    Assist the FOM with daily administrative tasks and documentation. Provide hands-on assistance for vehicle retrieval following breakdowns or maintenance work.
  • Donor Database & Stewardship:
    Create and maintain a comprehensive donation customer database. Responsible for scheduling donation trailer visits and following up with donors via thank-you notes.
  • Maintenance Tracking:
    Monitor and log service intervals for all vehicles and "Big Joe" material handling equipment to ensure safety and compliance.
  • Facility Equipment Oversight:
    Act as the primary point of contact for service calls and repairs regarding warehouse dock levelers, overhead doors, and specialized equipment.
  • Vendor Coordination:
    Schedule and follow up on service visits with external technicians to minimize equipment downtime.
  • Compliance & Safety:
    Ensure compliance with fleet program policies, DOT regulations, and Agency safety standards (CARF, HIPAA). Always promote a culture of safety and seek cost-saving opportunities.
  • Records Management:
    Maintain accurate digital files for service history, warranties, and equipment inspections.
  • Other Duties:
    Perform other duties as assigned.
Education Requirements
  • High School diploma or equivalent.
  • Associates degree or equivalent combination of relevant education and experience preferred.
  • Working knowledge of DOT and OSHA regulations preferred.
Experience Requirements
  • 2+ years in logistics, fleet coordination, or maintenance scheduling.
  • Proficiency in Microsoft Office, specifically Excel, and comfort with fleet management software.

  • Ability to maintain a valid driver's license and a driving record acceptable to GESMV's liability insurance provider.
