Position Summary

The Assistant Director of Budget and Operations plays a key role in the administration of the day-to-day operations of the College of Arts & Sciences dean's office, in the areas of human resources, compensation, payroll, finance, and budget. The Assistant Director performs advanced and confidential duties requiring broad and comprehensive experience, skill, and knowledge of the institution’s policies and procedures. The role works in collaboration with Divisional coordinators to ensure messaging and training on new policies is presented to College administrative staff and other College faculty and staff when necessary, and will work on campus.

Responsibilities

In consultation with the dean, this position performs professional duties related to compensation, finance, and hiring to facilitate the day-to-day operations of the College of Arts & Sciences; serves as the liaison between the CAS dean's office, the Office of the Provost, and the Office of Human Resources regarding matters of faculty and staff compensation management; assists in planning and development of budgets;

interprets, monitors, and analyzes information regarding operating policies and procedures; coordinates staff and faculty compensation matters; resolves problems that would impact the fiscal position of the college and its faculty and staff members; maintains confidentiality of personnel and compensation records; analyzes information to identify and communicate solutions; gathers and analyzes budgetary data and financial information; prepares reports to illustrate findings;

ensures financial processing and transactions are performed in accordance with established budgets and UD policies; assists in the development of budgets and provides budget-related information through analysis and forecasting.

Minimum Qualifications
  • Bachelor’s degree in a related field (accounting, management, finance, operations, management information systems, etc.).
  • At least 3 years of professional experience working in a business or budget office environment.
  • Professional experience developing budgets and reconciling actual expenses to budgets.
  • Professional experience analyzing financial data and preparing reports to deliver findings.
  • Proficiency with Microsoft Office software (especially Word and Excel). Advanced knowledge of pivot tables, formulas and charting.
  • Effective written and verbal communication skills.
  • Ability to work quickly and accurately with a high degree of detail, develop a deep knowledge of key UD policies and procedures regarding compensation, hiring, travel, budgeting, and procurement.
  • Ability to establish priorities for own workload based upon need for immediate action, work objectives, and work schedule.
  • Interpret policies and procedures and make decisions accordingly; exercise independent initiative and judgment.
  • Manage multiple deliverables and deadlines.
  • Use financial computer systems such as Banner self‑serve and Cognos for financial reporting.
  • Work independently with little to no supervision.
  • Protect and maintain confidentiality of information.
  • Work cooperatively and collaboratively with others; work under pressure to meet tight time schedules and deadlines, and handle significant problems and tasks that arise simultaneously or unexpectedly.
Preferred Qualifications
  • Masters in business-related field (accounting, management, finance, operations, management information systems).
  • Demonstrated ability to engage effectively, respectfully, and professionally with multiple constituents at all levels in an organization.
  • Effective interpersonal skills.
  • Demonstrated successful experience applying best practices for development and design of training curriculum, delivery of training/instruction for individuals and groups, and assessment of training efforts.
  • Deep understanding of University of Dayton academic structures, procedures, and policies regarding compensation, budget, and operations.
  • Knowledge of and sensitivity to Catholic and Marianist educational values.
  • Experience with defining problems, collecting data, establishing facts, and drawing valid conclusions on matters involving university faculty and staff hiring, compensation, travel reimbursements, and other financial related situations.
  • Experience proposing and implementing new processes to increase efficiency and reduce costs; with human resources performance management processes.
  • Ability to promote inclusive excellence in the workplace.
