The Dayton VA Medical Center is recruiting for a well-qualified Medical Support Assistant, within the Ward Administration Section of the Patient Business Service, and is responsible for providing administrative assistance to the Bed Control Team. This team coordinates and manages all patient referral activity into and out of the Dayton VA Medical Center.

Duties include, but are not limited to:

* Receiving incoming telephone calls in reference to referrals, admission and outpatient treatment. Provides clerical and administrative support to professional staff from VA and non-VA facilities.

* Notifying veteran by letter, telephone, or in person, of scheduled appointments or admission; assisting the veteran in coordinating scheduled procedures, clinic appointments, and travel.

* Receiving, processing, or updating and deciding on applications for health benefits.

* Interpreting, and making practical application of all regulatory material, pertaining to services provided to veteran applicants.

* Explaining individual's specific conditions or actions, which could affect the individual's status or eligibility for benefits. Verifying eligibility for VHA benefits, patient's entitlement to care via administrative functions

* Ensuring availability of all medical and administrative records, and radiology films prior to patient's arrival. Obtains results of laboratory tests, radiology reports, and other tests.

* Coordinating travel and transfer arrangements ensuring that proper transportation mode and equipment (oxygen, IV's, etc.) are provided, appropriate notifications made, and record referral requests completed.

* Processing requests and completing arrangements for follow up treatment on all referrals.

* Collaborating, communicating, setting priorities, and organizing the work in order to meet deadlines, ensuring compliance with established processes, policies, and regulations. Administrative point of contact, and administrative support person, for inpatient units.

* Communicating tactfully and effectively, both orally and in writing. Preparing reports in various formats and presenting data to various organizational levels.

* Knowledge of the technical health care process as it relates to access to care, i.e., assures correct provider is assigned to patient, notifies physician of admission, correctly enters patient movements electronically, schedules outpatient appointments, discharge appointments, supports nursing staff with necessary admission, and transfer processes.

* Knowledge of managing ward units. This includes independently utilizing reference sources, decision making, and empowering the team to collaborate and resolve problems within a complex systems environment.

* Knowledge of policies and procedures associated with operational activities that affect the patient flow, patient care, and the revenue process. Responsible for initiating and performing a variety of administrative functions in support of the overall care and treatment of patients on medical, surgical, psychiatric, long term care, and sub-specialty care units.

* Knowledge of medical terminology due to the technical nature of language utilized by clinicians and the close working relationship with the clinical staff on assigned units.

* Maintaining the medical record from admission to discharge or transfer, reviewing for completeness, accuracy, and correct sequence; receives, refers and files the results of various tests in patient's chart, keeping the chart current and accurate.

* Ensuring adequate stock of department/unit supplies, assuring tidiness of department/unit area, reporting any faulty, damaged, or lost equipment to appropriate service.

* Initiating surgical authorization and completes all preoperative requirements through working knowledge of what needs to be completed. Ensuring consent forms are completed and in the medical records.

Work Schedule:

Monday through Friday, 0730 to 1600
