Position Summary
The Director of Operations provides strategic leadership for Omega CDC's operational infrastructure, ensuring the organization's administrative services, facilities, technology, procurement, and operational support systems function efficiently, effectively, and in compliance with organizational policies and regulatory requirements. Reporting to the Chief Financial Officer, this position oversees the day-to-day operational functions that enable staff and programs to successfully advance Omega CDC's mission. The Director of Operations partners with executive and departmental leadership to strengthen organizational systems, improve operational performance, and lead initiatives that enhance efficiency, safety, and service delivery across the organization.
Essential Duties and Responsibilities
Operational Leadership- Participate in organizational planning by contributing to the development, implementation, and evaluation of operational strategies and priorities that advance Omega CDC's mission and strategic goals.
- Lead continuous improvement initiatives that strengthen organizational infrastructure, increase operational efficiency, and enhance the organization's capacity to deliver on its mission.
- Develop and maintain operational policies, procedures, and standard operating practices that promote consistency, accountability, and effective service delivery.
- Establish and monitor key performance indicators to assess operational effectiveness, identify trends, and drive continuous improvement.
- Lead cross-functional operational initiatives and organizational improvement projects that strengthen coordination, resolve operational barriers, and improve organizational performance.
- Recommend and implement operational enhancements that increase organizational capacity, improve employee experience, and support effective execution of strategic priorities.
- Provide leadership and supervision for the administrative support team, including reception and administrative staff.
- Oversee office operations, records management, purchasing, mail distribution, inventory, and administrative workflows.
- Develop administrative procedures that improve customer service and organizational effectiveness.
- Ensure administrative support services meet the needs of staff, leadership, and community partners.
- Provide strategic oversight of facilities and campus operations to ensure safe, functional, well-maintained, and mission-aligned environments across organizational locations.
- Oversee building maintenance, preventative maintenance schedules, repairs, and capital improvement projects to protect organizational assets and minimize operational disruptions.
- Manage relationships with custodial, groundskeeping, maintenance, security, and facility vendors to ensure reliable, cost-effective, and high-quality services.
- Coordinate building access, security systems, emergency preparedness, and workplace safety initiatives to promote a secure and prepared work environment.
- Oversee facility use, space planning, furniture, equipment, and operational logistics to optimize organizational space and resources.
- Ensure facilities operations comply with applicable building codes, safety regulations, and organizational standards, reducing operational and compliance risk.
- Serve as the organizational liaison with managed IT service providers and technology vendors to ensure reliable and responsive technology support.
- Oversee operational technology infrastructure, including telecommunications, office equipment, and technology assets, to support effective and uninterrupted business operations.
- Coordinate technology purchasing, inventory, equipment lifecycle management, and employee technology onboarding to ensure staff have the tools necessary to perform their work effectively.
- Partner with IT providers to maintain secure, reliable, and efficient technology systems and proactively address operational technology needs.
- Oversee organizational purchasing processes and procurement standards to promote efficient, equitable, and responsible use of organizational resources.
- Negotiate, administer, and monitor vendor contracts and service agreements to ensure services meet organizational needs and contractual expectations.
- Evaluate vendor performance and identify opportunities to improve service quality, operational efficiency, and cost effectiveness.
- Ensure purchasing and vendor management practices comply with organizational policies, contractual requirements, and applicable funding requirements.
