Coordinator - Distribution Systems & Inventory

Summary

The Distribution Systems & Inventory Coordinator supports warehouse operations by investigating and reconciling discrepancies between physical stock and inventory systems for Retail, Wholesale and E‑Commerce channels. The role ensures system synchronization with every physical movement of merchandise, handles transfers and loan tracking, and reports on outstanding issues to maintain inventory accuracy. This position works closely with warehouse management, sales teams and loss prevention to improve processes and resolve discrepancies.

• Organize, perform and oversee cycle counts and maintain count schedules.
• Investigate and reconcile discrepancies between physical inventory and system records; process transfers to balance inventory.
• Synchronize Warehouse Management Systems with physical movements and record system transactions for all stock movements.
• Track merchandise on loan, follow up on outstanding loans and process required transfers.
• Review vendor receiving discrepancies, file claims and record system movements to reconcile receiving errors.
• Track stock repairs and support invoice accuracy review, supply order entry and document filing as needed.

• 1-2 years of related experience; bachelor’s degree preferred.
• Basic to strong Excel skills and exceptional computer literacy; familiarity with WMS (Manhattan), Magento, Cegid, Jira or Trello is a plus.
• Detail oriented with clear, courteous communication and strong organizational skills.
• Ability to lift up to 50 lbs following safety procedures and to work overtime or flexible hours during peak periods.
• Ability to work independently with minimal supervision and collaborate with cross‑functional teams; bilingual English/Spanish is a plus.
