Job Description
- Administrative Assistant II
- Count Room
Performs routine administrative support work, providing assistance with maintaining filing systems, preparing and editing reports and documents, and providing general clerical and administrative support for the Count Room. The position involves disseminating information, maintaining accurate count room records, and ensuring compliance with unit count room procedures.
Essential Functions- Organizes, assigns, and reviews unit count room activities, including unit absentee tracking procedures; assigns inmate housing in compliance with legal, medical, and custody requirements; reviews housing and job assignment records; and maintains classification committee records.
- Coordinates with security staff to ensure accuracy of the count process and appropriate inmate housing assignments, assists in resolving errors or conflicts, and maintains the count room board display.
- Assists in performing data entry for the preparation and maintenance of accurate count room records and the verification of information related to the unit strength and count, including additions, deletions, housing assignments, custody status, job assignments, medical status, absences, and lay‑ins.
- Responds to routine inquiries regarding count room rules, regulations, policies, procedures, records, and reports; assists in the development of unit count room policies and procedures; and makes recommendations for improvements.
- Organizes, assigns, and reviews the work of others; provides training and technical assistance.
- Performs a variety of marginal duties as determined and assigned.
- Education:
Graduation from an accredited senior high school or equivalent, or GED. - Preferred experience:
customer service, clerical, secretarial, administrative support, technical program support, criminal justice, correctional unit operations, computer operations, and inmate classification. - Knowledge of office practices and procedures.
- Knowledge of unit count room procedures, agency policies, and regulations.
- Ability to communicate ideas and instructions clearly and concisely.
- Ability to coordinate with other staff, departments, officials, agencies, organizations, and the public.
- Ability to interpret and apply rules, regulations, policies, and procedures.
- Problem‑solving skills.
- Computer skills, including use of computers and related equipment on a stand‑alone or local area network environment.
- Skills in preparing and maintaining accurate records, files, and reports.
- Skills in planning work to meet established guidelines.
- Skills in planning, organizing, and assigning the work of others.
- Physical ability to walk, stand, sit, kneel, push, stoop, reach above the shoulder, grasp, pull, bend repeatedly, climb stairs, identify colors, operate a motor vehicle, and use motor equipment.
- Must work inside and around machines with moving parts; may involve working closely with others, independently, during protracted or irregular hours, and traveling by car, van, bus, or airplane.
- Equipment used: computer and related equipment, calculator, copier, fax machine, telephone, dolly, and automobile.
