WORKING TITLE:
ADMINISTRATIVE ASSISTANT I This open competitive advertisement is for a Career Service position located at Tomoka Correctional Institution in the Warden's Office. The mission of Security & Institutional Operations in the Florida Department of Corrections (FDC) is to ensure the safety and security of the public, staff, and inmates by maintaining secure correctional facilities and implementing effective security measures. This position is not a telework position and is required to report to the FDC office in the area it serves.
JOB DUTIES:
* Administrative Support:
Provide comprehensive administrative assistance to the Warden by researching, gathering data, and preparing detailed reports, projections, and recommendations.
* Document Preparation:
Review, analyze, and draft interoffice memos, correspondence, DC-mail messages, and confidential materials for the Warden's review and approval.
* Data Compilation:
Gather and compile statistical data, written reports, and other critical information for the Warden's evaluation and decision-making.
* Public and Staff Interaction:
Respond to inquiries from the public and staff with professionalism, interpreting rules, regulations, and policies, and referring complex matters to the Warden as needed.
* Event Coordination:
Manage the Warden's calendar, schedule meetings, conferences, and training sessions, and coordinate vehicle assignments for official events.
* Report Preparation:
Consolidate data from department heads into weekly, bi-weekly and monthly reports for the Warden's review and submission to the Regional Director.
* Mail and Communication Management:
Oversee the Warden's mail, ensuring timely distribution, processing, and coordination with the mailroom, while maintaining professional telephone communication.
* Meeting and File Management:
Take, transcribe, and distribute meeting minutes, and maintain accurate, secure, and up-to-date office files and documents.
* Building Access:
Control access to the Administration Building to ensure only authorized individuals are granted access to the building. BENEFITS:
