Description
We’re seeking a detail-oriented Administrative Assistant to support our sales, engineering, and quality departments. This role is essential to ensuring smooth office operations and delivering exceptional customer service. You’ll manage correspondence, schedule meetings, maintain records, prepare reports, and assist with departmental projects. For the right candidate, this can develop into a career and not just a job.
RequirementsKey Responsibilities
- Generate daily, weekly, and monthly sales reports.
- Maintain organized electronic and physical filing systems.
- Create and manage spreadsheets using Microsoft Excel.
- Develop and update presentations using PowerPoint.
- Respond to customer inquiries regarding order status and product details.
- Process customer orders, changes, returns, and RFQs.
- Collaborate with Sales and Credit teams to resolve disputes.
- Track RFQ awards and coordinate internal RFQ meetings.
- Use the Epicor ERP system to manage customer data and interactions.
- Provide feedback on service issues and customer concerns.
- Support sales representatives in exceeding customer expectations.
- Other duties as assigned in Engineering & Quality
- Education: High school diploma required; bachelor’s degree preferred.
- Experience: Minimum 3 to 5 years in administrative or office support.
- Proficiency in Microsoft Office Suite (Excel, Word, Outlook, PowerPoint).
- Strong Excel skills (formulas, data tracking, reporting).
- Experience with ERP systems (Epicor preferred).
- Excellent written and verbal communication.
- Strong attention to detail and organizational skills.
- Customer-focused mindset with problem-solving abilities.
- Ability to manage multiple tasks in a fast-paced environment.
- Flexibility to adapt to changing priorities.
- Proactive approach to process improvement.
- Experience working with independent sales reps is a plus.
- Office environment with senior management.
- Regularly required to stand, walk, stoop, kneel, and lift up to 30 lbs. (occasionally)
- Exposure to mechanical parts, airborne particles, and chemical irritants.
