Job Summary:

The TEI Institute Secretary provide support to Teacher Education Program as it relates to assisting the TEI Coordinator and Assessment Coordinator with facilitating program goals. The following list is representative of the duties and responsibilities of a Teacher Education Institute Secretary. Duties and responsibilities are subject to modification at

the discretion of the supervising Teacher Education Coordinator and Chair of the School of Education.

Duties/Responsibilities:

* Maintain regular working hours Monday-Friday 8:00 am-5:00 pm with some evening and weekend hours as required.

* Maintain an accurate knowledge of all procedures and policies for all programs in the College of Education and Teacher Education Programs (Elementary Ed., ESE, PE, and Secondary Education Majors).

* Schedule and manage appointments for the Coordinator of the Teacher Education Institute.

* Organize and maintain a filing system for all administrative records and forms and reports for the office of the Coordinator of the Teacher Education Institute.

* Record and prioritize all phone messages and emails for the administration of the office of the Coordinator of the Teacher Education Institute.

* Maintain an appointment calendar for the Coordinator of the Teacher Education Institute.

* Create an electronic file of all correspondence and reports prepared by the offices of the Coordinator of the Teacher Education Institute.

* Prepare all agendas for all meetings held by the Coordinator of the Teacher Education Institute.

* Take minutes at all faculty meetings led by the Coordinator of the Teacher Education Institute.

* Assist the Assessment Coordinator with taking minutes for Assessment Meetings.

* Maintain an electronic file of agendas and minutes.

* Maintain an electronic and hard copy file of all course schedules, rosters, textbook orders, syllabi, vita, grades, and final exams for the courses taught by the Coordinator of the Teacher Education Institute each semester.

* Assist TEI Coordinator in managing EDM 380 Professional Seminar.

* Prepare all reports for the Coordinator of the Teacher Education Institute. (Retention Grant, Annual Plans, Budgets, Accountability Reports, etc.)

* Maintain an electronic file of all communications from the Florida Department of Education on State Mandates for teacher certification and Continuing Program approval.

* Maintain files on all students and all testing reports for TEI Coordinator.

* Maintain files on students and procedures for all field experience placements in Practicum A, B, and internships and school contracts.

* Maintain file of correspondence with county school personnel.

* Organize and prepare for the Student Teacher Reception for all stakeholders each semester.

* Maintain a chronological notebook of an annual tickler file for all annual activities and responsibilities.

* Collaborate with the Assessment Coordinator to verify credentials of teacher candidates for Admission to Upper Division, Student Teaching, and Graduation.

* Assist the Assessment Coordinator in the collection and maintenance of Annual Assessment data.

* Assist the Assessment Coordinator in the compilation of data for Teacher Education Program evaluation reports for College of Education and the University.

* Provides administrative support to the Coordinator of the Teacher Education Institute (TEI) in the administration of the Live Text Assessment software.

* Maintain a database of students for statistical and demographic purposes.

* Creates courses, faculty rosters and student rosters in the assessment software, Live Text, and creates the documents and forms needed to complete student assessments.

* Exemplary knowledge in Microsoft Office Suites, especially Word, Excel, and Access and the ability to use specialized software applications with training.

* Complete other assignments under the supervision of TEI Coordinator and Dean of the School of Education.
