Job SummaryThis position is responsible for maintaining and advancing the financial information and processes that support the family’s financial, tax, fiduciary, and administrative interests across a complex portfolio of related entities, including trusts, LLCs, investments, and donor advised funds. The role serves as a key contributor to the accuracy, integrity, and organization of financial records, while also overseeing bill pay administration and providing broader analytical and operational support to Family Office leadership.
AssociateResponsibilities
- Own the accurate, timely recording of accounting transactions in Quick Books across multiple LLCs, including inventory receipts, sales, expenses and payroll activities
- Administer personal and entity-level bill pay processes, ensuring timely, accurate, and confidential disbursement support across various LLCs
- Maintain and reconcile monthly personal financial activity in Quick Books to support complete and accurate financial records
- Prepare monthly account reconciliations and supporting schedules to facilitate an accurate and timely month-end close process
- Compile and analyze monthly financial statements, including balance sheets, income statements, and presentations for LLCs and personal financial reporting
- Prepare and post journal entries, including recurring entries, accruals, reclasses, and other adjustments required on a monthly, quarterly, and annual basis
- Support annual budgets and perform budget-to-actual variance analysis to support informed financial decision-making
- Coordinate and prepare tax payments, 1099 preparation, licensing, and registration filings to ensure compliance across entities
- Collaborate with external tax preparers to ensure timely coordination, preparation, and filing of income tax returns and other applicable tax filings
- Support the organization and management of key information related to estate planning, trusts, tax, insurance, investments, and cash flow activity
- Identify opportunities to enhance, document, and strengthen financial processes and internal controls
- Perform financial analysis and reporting for various properties and projects, providing insight to support planning and decision-making
- Provide analytical and project support to management and internal stakeholders by responding to special requests and delivering targeted financial information as needed
- Bachelor's Degree in Accounting
- Minimum of 7 years of experience in public accounting, family office accounting, or other relevant financial accounting environments
- Demonstrated experience with retail and inventory accounting, including knowledge of tariff-related considerations
- Proven ability to manage accounting activity across multiple entities while effectively prioritizing competing projects and deadlines
- Experience with related-party transactions and intercompany accounting considerations
- Familiarity with foreign exchange transactions and related financial implications
- Advanced Excel skills with the ability to analyze data and support financial reporting needs
- Experience with accounting systems, Quick Books and Quick Books Desktop preferred
- Strong interpersonal, verbal, and written communication skills with the ability to interact effectively across stakeholders
- Ability to work independently with a high degree of ownership, sound judgment, and accountability
- High level of integrity, confidentiality, and discretion in handling sensitive financial and personal information
- Strong analytical, critical thinking, and problem-solving skills
- Typical office environment; cubicle setting
- Extended periods of time sitting, standing, typing on a computer is required
- Willing to work some weekends if necessary
- Some travel domestic required (approximately 10%)
