Overview
Jackson Dawson is looking to welcome a Calendar Builder / Appointment Scheduler
, who is responsible for coordinating and maintaining training schedules for In‑Dealership Trainers. This role requires strong attention to detail, the ability to collaborate effectively in a team environment, and clear, professional communication via phone and email.
Work location:
On‑site at the Dearborn, MI office.
- Create, coordinate, and maintain daily schedules for In‑Dealership Trainers
- Develop training schedules based on multiple factors, including logistics and geographic considerations.
- Monitor, track, and record hours worked by In‑Dealership Trainers
- Collaborate effectively with colleagues and adjust schedules as needed to accommodate changes.
- Record visit dates and travel details; routinely audit data to ensure accuracy and completeness.
- Conduct daily conflict checks to prevent double‑booking within and outside the In‑Dealership Training program.
- Proofread and review documents and spreadsheets for accuracy and professionalism.
- Maintain a polished, professional, and approachable phone presence.
- Communicate clearly and effectively with Dealership Managers regarding training schedules.
- Answer, screen, and transfer incoming calls; respond to questions and requests as appropriate.
- Perform weekly data validation to confirm that information is accurate and up to date.
- Analyze and compare data across multiple spreadsheets to support program research and reporting.
- Manage and prioritize workload based on program needs and direction from management.
- Place outbound and manage inbound calls and emails with dealerships and field representatives, taking appropriate action for each interaction.
- Perform additional duties as assigned.
- High school diploma or equivalent required
- Proficiency in Microsoft Office applications, with a strong emphasis on Excel
- Excellent written and verbal communication skills
- Professional phone etiquette with the ability to communicate effectively with individuals of varying personalities and roles.
- Strong grammar skills with the ability to proofread and edit documents accurately.
- Exceptional attention to detail with the ability to manage multiple tasks simultaneously
- Demonstrate analytical, critical thinking, and problem‑solving abilities.
- Ability to work independently as well as collaboratively in a team environment.
- Flexibility and adaptability to adjust trainer schedules as changes arise.
- Position requires regular, on‑site presence in the office.
