Captain Jay’s Fish and Chicken is hiring a Corporate Office Manager to support senior leadership and coordinate daily operations inside a fast paced corporate office that supports 30+ restaurant locations.
This is not a routine admin job.
You will manage real responsibilities from day one - tracking vendor contracts - following up on HR tasks- organizing Quick Books records - coordinating remote teams - and keeping leadership informed so nothing slips.
We are looking for someone driven, fast, organized, and accountable who wants a long term career in operations.
Many of our leaders started in office roles and grew into HR, finance, and operations leadership positions.
Core Responsibilities- Manage daily corporate office operations and administrative workflows.
- Provide executive support including calendars, meetings, travel planning, and document preparation.
- Track vendor invoices, contracts, and renewal dates across multiple locations.
- Maintain organized files in One Drive and Quick Books following strict naming standards.
- Coordinate with remote staff and internal teams in Microsoft Teams.
- Monitor deadlines in tracking files like billing trackers and operations dashboards.
- Follow up with vendors and store managers to resolve issues quickly.
- Prepare reports and summaries for leadership with accuracy.
- Handle and verify confidential payroll, HR, and financial information professionally.
- Support onboarding, scheduling, and other administrative HR tasks.
- Minimum 2 years office admin or executive assistant experience.
- Strong organization skills and ability to manage multiple priorities.
- Excellent written communication and professional email skills.
- Proficiency in Microsoft Excel, Word, Outlook, and Teams.
- Experience with Quick Books or bookkeeping support preferred.
- Comfort working in a structured environment with SOPs and deadlines.
- Ability to work independently and move tasks forward without waiting.
- Bachelor’s degree or equivalent real office experience.
- We support more than 30 locations and operate with strict processes and accountability.
- This role requires strong follow up, fast decision making, and comfort handling multiple deadlines at once.
- Candidates who prefer slow paced environments or minimal responsibility will not be a good fit.
- Strong performers in this role often advance into Operations Manager, HR Manager, or Finance Coordinator roles within 12 to 24 months.
- You will work directly with leadership and gain exposure to finance, HR, vendor management, and multi location operations.
