Job Description

Position Summary

Performs a wide variety of clerical support services to assist the efficient operation of the assigned elementary school office while maintaining confidentiality.

Duties and Responsibilities
  • Greets community, staff and students to the office; uses proper business etiquette to answer telephone calls and emails.
  • Assists in processing student registrations.
  • Assists in maintaining student records and immunization/health records.
  • Records student daily attendance and runs appropriate reports.
  • Tabulates daily lunch counts and submits them to the central kitchen.
  • Disburses medication to students.
  • Monitors sick and injured students.
  • Assists in creating student programs, awards, certificates, newsletters, etc.
  • Schedules and processes building use requests.
  • Distributes incoming mail and prepares outgoing mail.
  • Operates office machines (photocopiers, scanners, computers, printers, calculators, fax, voicemail, telephone).
  • Communicates with customers, employees, students, and other individuals to answer questions, disseminate or explain information, and address complaints.

Education

High school diploma or equivalent.

Experience
  • No previous clerical experience required.
  • One year of related experience providing clerical support in an office setting preferred.
Knowledge
  • Basic math.
  • Principles and processes for providing customer service.
  • Administrative and clerical procedures and systems such as word processing, spreadsheets, file and record management, form design, and other office procedures.
  • English language structure, spelling, composition rules, and grammar.
Abilities
  • Read and interpret district policies, guidelines, and regulations.
  • Participate in training classes.
  • Write routine reports and correspondence.
  • Interpret instructions furnished in written, oral, diagram or schedule form.
  • Learn different software systems.
  • Multi‑task, be organized, meet deadlines, and work in a fast‑paced environment.
  • Work cooperatively with teachers, community, students, and staff.
  • Read, write, and communicate effectively in English to perform essential job duties.
Skills
  • Word processing 40 wpm.
  • Data entry 6,000 strokes per hour, 95% accuracy.
  • Familiarity with word processing programs.
  • Basic math skills.
  • Good verbal and written communication skills.
  • Customer service skills.
  • AS400 (preferred).
  • Power School (preferred).
Testing

Keyboarding, data entry, word processing, basic math, alpha filing, customer service, and proofreading are required. Basic AS400 and basic Power School are preferred.

Physical Demands

Employee is regularly required to sit, use hands, talk and hear. Occasionally required to stand, walk, reach, stoop, kneel, crouch, or crawl. Occasional lifting or moving of up to 30 pounds. Specific vision: close vision and ability to adjust focus for computer use.

Work Environment

Noise level moderate to loud.

Elementary Clerk II, FLSA:
Non‑Exempt. Reports to Principal and Assistant Principal.
