Event Manager / Planner

We’re looking for a Producer (5-7 years of experience) to lead the execution of live events, tours, and immersive brand experiences from concept through completion. This role is ideal for someone who can confidently own projects end-to-end and deliver high-quality work that exceeds client expectations.
What You’ll Do- Lead and manage all phases of project execution, from kickoff through post-event wrap
- Oversee deliverables from other teams (creative, digital, etc.), workflows, timelines, and deliverables
- Develop and manage project budgets, including tracking, forecasting, and reconciliation
- Direct the production of graphics (physical and digital) and creative assets, including routing, approvals, and final delivery
- Manage tour/event assets across design, production, deployment, and refurbishment; this includes working with partners on fabrication and / or printing of display assets
- Collaborate with warehouse teams to oversee optimal staging, storage, logistics, asset movement, and fleet coordination
- Lead coordination of event staffing, crew training programs, including materials, scheduling, and execution
- Oversee digital deliverables, including lead generation tools and campaign functionality
- Manage and oversee all client communications, including presentations, meeting notes, agendas, and reporting
- Oversee vendor sourcing, bidding, onboarding, compliance, and ongoing management
- Ensure all project documentation is accurate and complete (agendas, notes, reports, financials)
- Identify risks, solve problems proactively, and elevate when needed
- Travel to various events you are managing to oversee set up and event activation
- Lead post-project reconciliation, including accurate cost recording, explaining material variances from budget, and recoding learnings and best practices to ensure continuous improvement
- 5-7 years of experience in event production, experiential marketing, or a related field
- Proven ability to manage projects from $500k-$1MM end-to-end, including leading teams and delivering against deadlines
- Strong financial acumen, including budget creation, tracking, and reconciliation
- Excellent communication skills with confidence in client-facing situations
- Deep experience managing vendors, suppliers, and cross-functional teams
- Strong organizational and multitasking abilities in fast-paced environments
- Proficiency in Microsoft Word, Excel, and Power Point
- Experience with lead generation tools, reporting, and campaign tracking is a plus
- Ability to anticipate needs, think ahead, and drive solutions independently
- Lead a range of experiential projects, and take ownership of projects and see them come to life in real time
- Work with a talented, collaborative team across creative and production
