This position performs technical accounting functions in support of assigned department operations.
Job SummaryThis position performs technical accounting functions in support of assigned department operations.
Major Duties- Prepares and process department payroll records; maintains attendance records; enters overtime amounts, holiday pay, special pay hours, etc.; submits to Human Resources.
- Creates and enters purchase orders; enters changes to existing purchase orders; updates spreadsheets to reflect changes.
- Receives and audits invoices for accuracy and processes for payment.
- Resolves vendor problems and issues.
- Prepares budget reports.
- Manages purchasing card accounts.
- Processes accounts payable.
- Maintains and updates websites.
- Copies, faxes, and scans documents.
- Maintains office supply inventory; reorders as needed.
- Maintains inventory of department forms.
- Maintains files and records.
- Prepares a variety of regular and special reports.
- Sells burial spaces when assigned to the City Cemetery; coordinates burials with funeral homes; maintains burial records.
- Performs related duties.
- Knowledge and level of competency commonly associated with completion of specialized training in the field of work, in addition to basic skills typically associated with a high school education.
- Sufficient experience to understand the basic principles relevant to the major duties of the position, usually associated with the completion of an apprenticeship/internship or having had a similar position for one to two years.
- Must be proficient in Microsoft Office Word, Excel and Outlook.
- Knowledge of city payroll processes.
- Knowledge of city purchasing policies.
- Knowledge of computers and job-related software programs.
- Knowledge of accounts payable and receivable processes.
- Knowledge of customer service principles and practices.
- Skill in data entry.
- Skill in problem solving.
- Skill in interpersonal relations.
- Skill in operating office equipment such as a computer and standard business software, copier, calculator, and facsimile machine.
- Skill in oral and written communication.
- City and department policies and procedures. These guidelines are generally clear and specific, but may require some interpretation in application.
- The work consists of related technical accounting duties. Strict regulations and the need for accuracy contribute to the complexity of the position.
- The purpose of this position is to perform technical accounting duties in support of assigned department operations. Successful performance helps ensure the efficiency and accuracy of those operations.
- Contacts are typically with coworkers, other city personnel, vendors, and the general public.
- Contacts are typically to exchange information, resolve problems, and provide services.
- The work is typically performed while sitting at a desk or table or while intermittently sitting, standing, or stooping. The employee occasionally lifts light and heavy objects.
- The work is typically performed in an office.
- This position supervises assigned temporary personnel.
