What You'll Be DoingAs an Administrative Assistant
, you will play a key role in supporting company leadership and ensuring daily operations run smoothly. You'll also be part of the Data Support Team
, gaining hands‑on experience with internal systems and vendor platforms.
- Support executive leadership with scheduling, meeting coordination, and note‑taking
- Manage incoming/outgoing mail, bank deposits, and occasional local errands (mileage reimbursed)
- Retrieve and track vendor invoices and supporting documentation
- Maintain detailed Excel spreadsheets to track purchase orders, missing invoices, and backorders
- Research vendor portals to locate missing data and documents
- Reconcile client orders within the company's software platform
- Communicate and collaborate with internal teams and offshore data analysts
- Assist with additional administrative and operational tasks as needed
We're seeking someone who is highly organized, detail‑driven, and eager to learn in a dynamic environment.
Preferred Qualifications- Experience or exposure to the healthcare industry is a plus
- Advanced proficiency in Microsoft Excel (this is critical to success in the role)
- Strong comfort working in digital environments (online systems, vendor portals, research)
- Experience with Outlook/email management and organization
- Exceptional attention to detail
