General

Summary:

Supports alumnae programming, data analysis, web maintenance, CRM and communications for alumnae and donors within the office of alumnae and donor relations. Works with the senior director of alumnae relations and colleagues across divisions to support alumnae office goals.

Responsibilities
  • Respond to inquiries and requests from alumnae, donors, faculty, staff, students by phone, e‑mail, and in person.
  • Collaborate with the senior director to coordinate communications, including e‑mail marketing and print mailings. Responsibilities include pulling and importing lists and printing mailing labels.
  • Solicit and receive class news from individual alumnae and class secretaries, edit for publishers, and handle birth and obituary processes.
  • Assist in implementing events such as Alumnae Weekend, Reunion Boot Camp, and career‑related alumnae events.
  • Serve on the Alumnae Association Board of Directors and other alumnae meetings, and produce meeting or event materials, printing nametags.
  • Use the multi‑user database (Raiser’s Edge/Blackbaud) to create event registration forms, record registrations and attendance, and generate monthly and quarterly reports. Manage online registration platforms, online payment systems, and mobile payments.
  • Ensure the alumnae website and online community are up‑to‑date and accurate. Lead maintenance and UX optimization for the Agnes Scott Alumnae webpage and Alumnae Weekend website.
  • Enhance alumnae engagement through social media by managing content, scheduling posts, and editing videos.
  • Serve as staff leader to the Alumnae Relations office’s student organization:
    Student Alumnae Ambassadors. Responsibilities include planning events, organizing meetings, procuring supplies, assisting with interviews, creating presentations, and managing related activities.
  • Recruit and supervise student workers for the alumnae office.
  • Collaborate with directors to manage the office budget, submit check requests and reimbursements, reconcile accounts monthly, process work orders, maintain gift and office inventory, order supplies, and develop, track, and report budgets for Alumnae Weekend, the Alumnae House, and other relevant projects.
  • Requirements
    • Education:

      Bachelor's degree preferred.
    • Experience:

      2‑4 years of office and event planning experience; knowledge of Agnes Scott is a plus.
    Knowledge, Skills, and Abilities
    • Ability to interact successfully with a variety of people and personalities and resolve problems effectively.
    • Attention to detail.
    • Strong technical skills, including proficiency in MS Office, Google Workspace, Zoom, and working knowledge of CRM/databases (Riser’s Edge, NXT, Salesforce, etc.) and email marketing platforms (Mail Chimp, Constant Contact, Emma, etc.).
    • Experience with event and project management.
    • Effective communication skills.
    • Insured driver in the State of Georgia.
    • Ability to work independently and maintain confidentiality as needed.

    • Occasional irregular hours and overtime required, depending on special events, projects, and travel.
    Physical Demands

    Intermittent sitting, standing, stooping, crouching, walking, and occasional moving of light objects. Work is performed in an office or at off‑campus social or business settings.
