Job Title: Soccer Club Registrar Department: DISC Reports To: Soccer Director FLSA Status: Part-Time, Non-Exempt Wage: $16.50/hour

POSITION FOCUS

Under general direction of the Soccer Director, this position provides administrative support to help plan, organize, administer, and promote all activities related to Mid State travel programs, camps and clinics.

SUPERVISORY RELATIONSHIPS

This position does not have any supervisory responsibilities.

ESSENTIAL JOB DUTIES

include the following. Other duties may be assigned.

  • Provide administrative support for the Mid State travel & recreational soccer programs.
  • Plan, organize, administer, and promote Mid State soccer club as well as assist with organization of Illinois Alliance program.
  • Maintain records, organize sponsorship/fund-raising activities, establish and maintain an informational system for Mid State.
  • Coordinate & submit payroll for employees.
  • Help maintain a timeline of events (dates for programs, registrations, etc.).
  • Create and maintain email and mailing distribution lists in constant contact.
  • Monitor registration numbers, make suggestions on class cancellation/expansion.
  • Work with uniform coordinator & vendors to help with ordering of uniforms & apparel and assist with distribution to teams/coaches.
  • Process paperwork for travel soccer park district payment plans and waivers.
  • Process paperwork for SLYSA (league) and tournaments.
  • Assist with administering annual Midstate Cup & 4v4 indoor futsal tournament.
  • Supervise Booster Club transactions/account.
  • Request flyers/posters/ads/press releases.
  • Arrange and secure program space.
  • Work with Team Parent Representatives.
  • Pursue sponsorship opportunities.
  • Update Midstate website & other social networking sites.
  • Oversee volunteer groups assisting with concessions sales.
MARGINAL JOB DUTIES
  • Secure hotels for travel.
  • Help purchase supplies, materials and equipment.
  • Accurately prepare purchase orders & other financial paperwork.
  • Monitor cash intake at point of sale programs/activities.
  • Pursue public radio & media appearances to promote the club program & events.
  • Supervise photo arrangements.
REQUIRED KNOWLEDGE, ABILITIES & SKILLS
  • Ability to use a computer for email, and accessing the internet.
  • Ability to cooperate with and interpret Park District philosophies in relation to governmental, public and private groups or agencies, and to the general public.
  • Capacity to maintain positive and effective working relationships with supervisors and subordinate employees.
  • Ability to work harmoniously with coaching staff, fellow employees, patrons.
  • Capacity to utilize effective time management skills and be able to work under the stress of multiple deadlines, requests from others and interruptions, with accuracy.
  • Ability to work in a team atmosphere, promoting positive work relations with both internal and external customers.
  • Proficiency to read and write in English, and organize effectively.
  • Ability to communicate effectively within various settings, from one‑on‑one to group configurations.
  • Capacity to maintain self‑control and composure in difficult situations.

EDUCATION, EXPERIENCE AND TRAINING
  • Bachelor's degree (B.A.) preferred; or two years related experience and/or training; or equivalent combination of education and experience.
  • Must be proficient at Microsoft Office software, including Word, Excel, PowerPoint, etc.
HOURS

Approximately 20‑25 hours a week, weekdays, with occasional evenings/weekends.
