Administrative Assistant - Position Overview
Our accredited Montessori school is seeking a warm, organized, and adaptable Administrative Assistant to serve as a vital member of our school community. This role is more than administrative; it is a cornerstone of connection, communication, and care. The Administrative Assistant helps sustain the prepared environment by ensuring that daily operations run smoothly while supporting children, guides, and families with grace and professionalism.

Key Responsibilities Financial & Operational Stewardship- Maintain accurate financial records using Quick Books, including tuition management and reporting.
- Assist with payroll processing and documentation.
- Support families with tuition accounts in a respectful, timely, and solution-oriented manner.
- Maintain and update student information through Power School.
- Track daily attendance and support student check-in/check-out procedures.
- Ensure records reflect the integrity and confidentiality expected in a Montessori setting.
- Serve as the first point of contact for families and visitors, creating a welcoming and peaceful entry into the school.
- Answer phones, respond to emails, and manage daily correspondence with professionalism and warmth.
- Support the flow of the school day by managing office operations, including door access and visitor coordination.
- Assist with student registration and enrollment processes.
- Administer medication in accordance with school policies and best practices.
- Gently support children’s needs as they arise, ensuring safety, comfort, and dignity.
- Act as a liaison to the Development Committee, supporting communication and organization.
- Order and maintain supplies to ensure classrooms and offices remain well-prepared.
- Support guides and leadership with administrative needs.
- Contribute to a cohesive, respectful, and responsive school culture.
- Perform other duties as needed in support of the community.
- Experience in administrative or office support roles preferred.
- Familiarity with Quick Books, Power School, or similar systems is beneficial.
- Strong organizational skills and ability to manage multiple priorities with calm efficiency.
- Excellent written and verbal communication skills.
- Demonstrates discretion, professionalism, and respect for confidentiality.
- Ability to work independently while contributing to a collaborative team.
