Client Service Representative Dedham Veterinary Associates — Dedham, MA Pay: up to $22/hr

If you’re the kind of person who can answer a ringing phone, check in a patient, juggle three questions at once, and somehow still remember why you walked to the front desk in the first place, you might be exactly who we’re looking for.

We’re looking for a Client Service Representative (CSR) to join our team at Dedham Veterinary Associates and help keep the front of the hospital running smoothly. This is a busy, people-facing role where communication, organization, and a good sense of calm go a long way.

You’ll be one of the first faces our clients see and one of the people making sure information gets where it needs to go. That means answering phones, scheduling appointments, checking patients in and out, keeping the schedule moving, and making sure clients understand what’s happening with their pets. It also means knowing when to slow down and listen, especially when someone is dealing with a stressful visit or saying goodbye to a beloved pet.

We’re ideally looking for someone with 1–2 years of experience in customer service, phone communication, scheduling, or a similar role
, but we’re happy to consider entry-level candidates who bring the right attitude and willingness to learn. Veterinary experience is certainly helpful, but it’s not the only thing that makes someone successful here.

The right person is organized, detail-oriented, patient, and comfortable multitasking without losing their cool. You’ll need to be able to adjust when the schedule changes (because, well, veterinary medicine), anticipate problems before they become bigger problems, and work closely with the medical team to keep information flowing.

A big part of the job is keeping the schedule healthy and productive. You’ll use smart scheduling and an organized waitlist to keep appointments booked, follow up on cancellations and no-shows, and help make sure the day doesn’t grind to a halt when things get busy.

You’ll also handle the usual front-desk responsibilities: answering and directing calls, checking patients in and out, admitting surgery patients, keeping client and patient information current, processing payments, scheduling appointments, communicating messages to the medical team, and helping clients understand medications and home‑care instructions.

There’s also the less glamorous—but very important—part of the job. Our CSRs help keep the front desk, lobby, and common areas clean, organized, and welcoming. Opening and closing procedures, end‑of‑day reports, deposits, laundry, and pitching in wherever needed are all part of being a strong member of the team.

We’re looking for someone who brings a “can-do” attitude to work every day. Someone dependable. Someone who is willing to jump in and help a teammate without being asked. Someone who takes pride in doing things well and understands that the little details matter, whether that’s catching an incorrect phone number in a patient’s record or noticing that the lobby needs a quick tidy‑up.

And while this is a CSR position, we also want someone who is interested in growing. We encourage continuing education and learning opportunities, and we expect our team members to keep building their knowledge of veterinary medicine and sharing what they learn with their coworkers.
