RAYUS Radiology is looking for a Lead Front Office Associate to join our team. We are challenging the status quo by shining light on radiology and making it a critical first step in diagnosis and proper treatment. Come join us and shine brighter together!
As a Lead Front Office Associate, you will be responsible for providing services to patients and referring professionals by answering phones, scheduling appointments, cheerfully greeting and registering patients, and performing other duties as assigned. This is a leadership role within the greater administrative team involved in process improvements, staff planning, training, and supervision.
This is a full-time position working Monday-Friday, 8 hour shifts between 7:00am‑5:00pm.
ESSENTIAL DUTIES AND RESPONSIBILITIES (30%) Registration
Greet and check‑in patients scheduled for imaging services; process payment as neededAnswer phones and handle calls in an efficient and friendly mannerField phone calls appropriately for Center Team MembersAct as liaison between imaging technologists and the patients waiting for exams, and relay messages regarding scanner status and other clinic informationMaintain organization of the front office lobby area by straightening magazines, organizing coffee supplies, and assisting with general office cleanupOrder office supplies as neededMaintain supply of patient information sheetsPush patient imaging via electronic interfacesComplete patient appointment confirmation calls and provide preparation instructions to patientsFax/scan reports, billing information, and medical release forms as requested(15%) Scheduling
Arrange transportation, interpreters, and hotel accommodations for patients when appropriateEnter and submit patient exam ordersVerify patient exam orders match exam schedulesSchedule referrals and ensure proper authorizations are obtainedSchedule walk‑in patientsProcess requests for image orders and CDs from both the referring physicians and patientsMaintain an up‑to‑date and accurate pending‑scheduling listMaintain an up‑to‑date and accurate database of all current and potential referring physicians(15%) Insurance
Verify patients’ insurance coveragePre‑certify all patient exams with the patient’s insurance companyObtain insurance authorizationsApply knowledge of insurance carriers (e.g., Medicare) and procedures that require waivers to obtain pre‑authorization, if needed, prior to patient appointmentsFacilitate Release of Information (ROI) requests for patients, referring offices, other medical facilities, attorneys, and insurance companies following company guidelines(35%) Functional Team Leadership
Coordinate the training and onboarding of new team membersAssist the Supervisor, or directly facilitate and lead regular team meetings and assigned team member one‑on‑onesAssist with the hiring process for new team membersMonitor and approve assigned team member timecardsInitiate and/or participate in the annual performance evaluations, learning/development and performance management of assigned team membersAssist with the development of team member schedules to provide for planned time off, ensuring appropriate staffing levels and adequate coverageEvaluate workflows and implement process improvements for the team/departments as appropriateEnsure the team has knowledge of company and department policies and corresponding proceduresProactively provide support to team members to ensure the highest level of patient satisfaction is reached and maintainedManage the department (in the absence of supervisor) and coordinate schedules to ensure appropriate coverageLead special projects and/or committees, as assigned(5%) Other tasks and projects as assigned

High School Diploma or equivalentFour (4) years of customer service experienceTwo (2) years of medical front office experience, with demonstrated ability to serve as a resource to others, effectively train and coach team members, and identify process improvement opportunitiesDemonstrated knowledge of medical terminologyExperience leading/mentoring othersBusiness office experience with minimal processing errorsMedical insurance knowledgeHighly proficient in using computer systems and typingSolid working knowledge of Microsoft Office Suite;
