Office Administrator/ Coordinator, Accounts Receivable/ Collections

We’re looking for a versatile, detail-oriented individual who can wear multiple hats and thrive in a dynamic, fast-paced environment.
Position OverviewThis position plays a key role in ensuring smooth day-to-day operations across finance, customer relationships, and logistics. This hybrid role is ideal for someone who enjoys variety, takes initiative, and excels at keeping both numbers and people organized.
Key ResponsibilitiesProcess accounts payable and accounts receivable, including invoicing and payment reconciliation.
Monitor customer account balances and follow up on outstanding payments.
Prepare weekly and monthly financial reports for management.
Assist with budgeting, cost tracking, and inventory-related financial records.
Coordinate with the external accountant as needed.
Customer ServiceServe as a primary point of contact for customer inquiries, orders, and account questions.
Process incoming orders via phone, email, or online systems.
Handle product questions, resolve issues, and provide timely, accurate information.
Maintain positive and professional relationships with customers, suppliers, and partners.
Track customer feedback and report trends to the management team.
Operations & Logistics SupportCoordinate delivery schedules with drivers and warehouse staff.
Assist with inventory management, product availability checks, and stock reconciliation.
Prepare order sheets, pick lists, and dispatch information.
Help streamline operational workflows and identify opportunities for efficiency improvements.
Provide general administrative support to the operations team.
Qualifications2+ years of experience in bookkeeping, accounting, or financial administration.
Experience in customer service or operations—food distribution or related industry a plus.
Proficiency with Quick Books (or similar), Excel/Google Sheets, and general office software.
Strong communication skills (written and verbal).
Excellent organizational skills and attention to detail.
Ability to multitask and adapt in a fast-paced environment.
Knowledge of food distribution, logistics, or inventory systems preferred but not required.
Reliability and strong sense of ownership
