Position SummaryThe Inventory Associate is responsible for maintaining the accuracy, organization, and compliance of all cannabis and non-cannabis inventory within the dispensary. This role supports the entire operation by receiving shipments, maintaining seed-to-sale tracking through Metrc, conducting inventory audits, coordinating product movement, and ensuring every product meets New York State Office of Cannabis Management (OCM) regulations and Hypotency's Cannabis operating standards.
The ideal candidate is organized, dependable, detail-oriented, and committed to maintaining inventory accuracy while supporting an exceptional guest experience.
Inventory Management- Receive, inspect, verify, and process all incoming cannabis and non-cannabis product deliveries.
- Accurately receive inventory into Metrc and all required inventory management systems.
- Maintain complete and accurate seed-to-sale tracking for all cannabis products.
- Organize inventory within storage rooms, vaults, and sales floor stock areas according to company standards.
- Ensure products are properly labeled, packaged, tagged, and stored in accordance with New York State OCM regulations and Hypotency Cannabis SOPs.
- Monitor inventory levels and communicate restocking needs to management.
- Monitor product expiration dates and identify products requiring rotation or removal.
- Ensure all inventory activities comply with New York State Office of Cannabis Management (OCM) regulations.
- Maintain accurate inventory documentation and transaction records.
- Identify, investigate, and report inventory discrepancies, damaged products, or compliance concerns to management immediately.
- Assist with cannabis product returns, transfers, destruction, and disposal following all regulatory requirements.
- Support management during internal audits, state inspections, and compliance reviews.
- Maintain strict chain-of-custody procedures for all cannabis inventory.
- Perform daily, weekly, monthly, and cycle inventory counts.
- Conduct inventory reconciliations and investigate variances.
- Ensure inventory records remain accurate across Metrc, POS systems, and internal inventory software.
- Assist with opening and closing inventory procedures.
- Maintain inventory accuracy through routine quality assurance checks.
- Coordinate with Bud tenders to ensure the sales floor remains fully stocked throughout the day.
- Fulfill customer product requests accurately and efficiently while maintaining inventory integrity.
- Assist with product organization, merchandising support, and back-stock management.
- Support dispensary operations during busy periods by assisting other departments as needed.
- Maintain a clean, organized, and secure inventory workspace.
Required Qualifications
- High school diploma or equivalent.
- Previous experience in inventory, warehouse operations, logistics, retail stock management, or supply chain preferred.
- Exceptional attention to detail and organizational skills.
- Ability to maintain accurate records and perform repetitive tasks with precision.
- Strong mathematical and problem-solving abilities.
- Comfortable learning inventory management software, POS systems, and Metrc.
- Ability to work independently while collaborating with multiple departments.
- Ability to prioritize multiple tasks in a fast-paced environment.
- Must meet all eligibility requirements to work within the New York State cannabis industry.
- Previous cannabis inventory experience.
- Experience using Metrc or other seed-to-sale inventory systems.
- Knowledge of New York State Office of Cannabis Management (OCM) regulations.
- Experience preparing for compliance inspections or inventory audits.
- Warehouse, logistics, or retail inventory management experience.
- Ability to remain in a stationary position or move throughout the dispensary as needed during scheduled shifts.
- Ability to move throughout inventory storage areas, vaults, receiving areas, and the sales floor while performing the essential functions of the position.
- Ability to frequently lift, move, carry, push, or pull products and supplies weighing up to 40 pounds.
