Key Responsibilities Office Management- Oversee day‑to‑day operations of the Houston office to maintain a well‑organized, fully functional workspace.
- Manage office supplies, inventory, and ordering to ensure consistent availability.
- Coordinate office logistics including deliveries, organization, and general upkeep.
- Plan and support team events, meetings, and internal gatherings.
- Serve as the point of contact for office‑related needs to ensure a positive and productive work environment.
- Maintain and track medical stockroom inventory and office supply inventory at headquarters.
- Receive and review supply and equipment orders submitted by the field team.
- Place orders for requested items with approved vendors and suppliers.
- Develop and maintain relationships with vendors and suppliers to support operational and inventory needs.
- Coordinate pricing discussions and negotiate costs with vendors when appropriate.
- Provide internal team with pricing estimates and quotes for client‑specific supply and equipment requests.
- Monitor order requests for accuracy, consistency, and unusual quantities.
- Communicate directly with the field team to clarify or flag questionable requests before processing.
- Ensure inventory requests from field team align with operational needs and company guidelines.
- Coordinate and fulfill client‑specific supply or equipment requests, including preparing and shipping items as needed.
- Coordinate packaging and shipping of supplies and equipment to field staff or job sites.
- Track orders, deliveries, and shipment status to ensure timely fulfillment.
- Maintain organized records of orders, inventory usage, and shipment history.
- Monitor and manage the Inventory Department ticketing system to ensure timely review and fulfillment of requests.
- Order, inspect, and distribute supplies to field teams.
- Fulfill and ship supply orders for all clinics.
- Schedule and manage preventative maintenance for equipment (e.g., LP‑15s).
- Coordinate miscellaneous purchasing and ordering needs related to client support and outreach activities.
- Order materials and supplies for client appreciation events, outreach initiatives, and company‑sponsored activities.
- Help ensure all client‑related orders and materials reflect company standards and professionalism.
- Respond to field staff questions or route them to the appropriate team.
- Lead, coordinate, and participate in employee engagement efforts.
- Support team meetings, updates, and internal communication flow.
The expected salary range for this position is $55,000 – $65,000 depending on experience and qualifications. This position is also eligible for per diem.
Requirements- High school diploma or equivalent required;
Associate's or Bachelor's degree preferred. - 2+ years of experience in office management, operations coordination, inventory management, purchasing, logistics, or a related role.
- Experience managing inventory, supplies, equipment, or stockroom operations.
- Experience coordinating shipments, deliveries, and order fulfillment.
- Experience working directly with vendors and suppliers, including obtaining quotes and placing orders.
- Strong organizational skills with the ability to manage multiple priorities and deadlines simultaneously.
- Excellent written and verbal communication skills.
- Strong attention to detail and commitment to accuracy.
- Proficiency in Microsoft Office Suite, including Outlook, Excel, and Word.
- Ability to work independently while collaborating effectively with cross‑functional teams.
- Ability to maintain confidential and sensitive information.
- Ability to lift and move boxes and supplies up to 25 pounds as needed.
- Valid driver's license and reliable transportation.
- Experience supporting field‑based operations, healthcare operations, or multi‑site environments.
