Office Administrator/ Coordinator
The purpose of this position is to process accounts receivables. This class works under close to general supervision according to set procedures but determines how or when to complete tasks.
Essential Functions- Prepares daily deposits for all funds.
- Enters receipts in accounting financial module and maintains spreadsheets on a daily basis.
- Records overages/shortages.
- Files and maintain receipt documentation.
- Prepare monthly fire inspection billings and collections including distribution of billings via email or postal service
- Maintain fire inspection billings account and prepare balance reports, including collections reports
- Prepare business tax billings and collections; including weekly reports
- Batch and post customer payments for fire inspection, business tax and utilities by recording cash, checks and credit card transactions in financial system(s)
- Post third party payments (i.e. lockbox/financial institution); enter cash receipts; post adjustments; process cash receipts records and/or reports
- Process cash collections and receipts on a daily basis for deposit; runs reports; prepares and process bank deposits
- Prepare lien search reports (water, trash and code enforcement) by checking for municipal liens/assessments and utility balances
- Communicate with customers to assist with fire inspection, business tax and utilities billing inquiries and provide explanations; dispute resolution, etc
- Maintain records and subsequent storage or disposition of files
- Serve as receptionist/cashier as needed; answer and direct incoming callers/visitors; demonstrate professionalism both verbally and in written communication
- Serve as secondary for administrative financial tasks as needed; various clerical duties; perform in accordance of policies and procedures including regulatory standards.

- High School Graduation or GED equivalent.
- Two (2) years of accounting-clerical experience (processing invoices, processing/tracking payments and other related functions) or an equivalent combination of education, training and experience.
- Associate’s degree in Business Administration, Finance, Accounting or related discipline.
- Experience in bookkeeping, accounting, financial functions.
Skills And Abilities
- Organization and data entry skills.
- Bookkeeping skills and knowledge of accounting.
- Attention to detail and good verbal communication skills.
- Knowledge of cashiering procedures and office practices and equipment.
- Skill in communication, data entry and in the use and operation of a calculator and point of sale cash register.
- Ability to establish and maintain effective working relationships with City officials, vendors, and the general public.
- Ability to accurately complete cashiering transactions.
- Performs sedentary work that involves walking or standing some of the time and involves exerting up to 10 pounds of force on a regular and recurring basis or sustained keyboard operations.

Monday – Friday 8am-5pm (May be required to work nights, weekends and holidays to meet the business needs of the City.)
